Role Description
We are seeking a warm, highly organized Intake Coordinator to be the first point of contact for prospective and existing clients and to own our intake process from the first call to the signed retainer. Working closely with our lawyers and clerks, you will handle phone calls, emails, and online inquiries; conduct initial screenings; gather and enter client information; schedule consultations; and prepare files for review. You will keep the pipeline moving so that no inquiry slips through the cracks, following. Some assistance with other administrative tasks may also be required.
Qualifications
- Working knowledge of Canadian immigration streams (for example, Express Entry, provincial nominee programs, family sponsorship, work and study permits, refugee claims, and citizenship) sufficient to understand inquiries and route them to the right lawyer
- Strong verbal and written communication, with the ability to interact with clients from diverse backgrounds professionally and with empathy
- Proven customer service skills, including client-centered support, conflict de-escalation, and handling sensitive situations with discretion
- Experience maintaining organized electronic files and tracking tasks and deadlines in case management or CRM software (Clio an asset)
- Prior experience in a law firm, immigration practice, or other professional services intake or reception role
- Experience converting leads or clients in a sales or client-facing role
- Ability to work both independently and collaboratively in a hybrid environment
- Proficiency in an additional language is an asset for supporting a diverse client base

- Full-time
- Hybrid, based at our downtown Toronto office at Bay and Bloor
Compensation
- $50,000–$60,000 per year, based on experience and qualifications
