Executive Administrative Assistant

Reporting to the Executive Office Lead, this position provides essential support to the offices of the President and CEO and the Chief Operating Officer. It is a high-trust, high-visibility role that sits at the center of Manitoba Hydro’s executive operations. The successful candidate will be a composed and resourceful professional who brings discretion, sound judgment, and genuine initiative to a fast-paced environment. They will be equally comfortable managing competing priorities independently, engaging with senior leaders, and serving as a reliable point of contact for internal and external stakeholders.

KEY RESPONSIBILITIES
- Provide comprehensive administrative support to the Executive Office Lead, managing correspondence, coordinating responses, and serving as the primary point of contact for internal and external stakeholders.
- Coordinate scheduling for the COO and support travel arrangements for both the CEO and COO as directed by the Executive Office Lead.
- Plan and organize executive meetings, town halls, conferences, and special events, including all logistics, room bookings, and guest coordination.
- Process financial transactions including month-end Visa reconciliation, invoices, and service entries with accuracy and timeliness.
- Maintain the President and CEO’s SharePoint site, filing systems, and records to ensure information is current, organized, and readily accessible.
- Backfill for Executive Assistants in Vice-President offices as needed and provide guidance to junior staff, contributing to a cohesive, high-performing administrative team.
QUALIFICATIONS
- Post-secondary business or administrative coursework with a minimum of three years of related experience; or four or more years of equivalent experience in a senior administrative role.
- Exceptional written and verbal communication skills with a strong command of business English, grammar, and professional correspondence.
- Proficiency in Microsoft Office Suite; familiarity with SAP and HRMS is an asset, along with a readiness to learn new platforms as required.
- Proven ability to handle sensitive and confidential information with discretion, integrity, and sound judgment, particularly in a high-profile executive environment.
- Strong organizational skills with the capacity to manage multiple priorities, meet firm deadlines, and operate with a high degree of independence and minimal supervision.
- A polished, diplomatic manner with the interpersonal skills to engage effectively and professionally with colleagues, executives, and external parties at all levels of an organization.
