Administrative and Research Coordinator

Job Responsibility:
The Canada China Business Council is currently seeking an Administrative and Research Coordinator for its Corporate Office in downtown Toronto. This is a dynamic and demanding position with focus on office administration and event/program management in support of corporate operations and projects.
Responsibilities and Duties:
· Provide general administrative support for the corporate office and other chapters when needed including, but not limited to: reports, webinar and meeting support, filing, mailing, handling general inquiries, and other related duties;
· Participate, with other team members, in the planning, organization and logistics of large events and meetings including the Annual General Meeting and Leaders' Banquets;
· Multitask various office administrative duties, including coordinating visa and document notarization processes.
· Take the initiative to enhance the efficiency and effectiveness of the office by proposing functional improvements, writing procedures, reformatting and converting policy documents, and ordering stationery supplies. Ensure office and storage area is clean and organized;
· Be the team expert for membership database. Responsible for new member profile input, monthly membership renewal notifications and annual membership analysis. Ensure ongoing functionality of the system;
· Provide technical and logistical support for virtual/hybrid meetings and events; coordinate and facilitate session as needed;
· Coordinate with Communications Director on daily newsletter and event promotion;
· Coordinate with all staff on event logistics and IT, and membership data base updates;
· Create regular internal reports on membership and revenue, analyze membership details and create reports for management as needed;
· Write internal briefings on key markets, sectors, and policy changes as needed;
· Review service contracts, new policies and regulations in China and Canada;
· Tracking the special projects progress;
· Assist management team in research for speeches, projects and contacts ; some translation required
· Assist with video/audio editing for webinar and podcast;
· Liaise with member organizations on a variety of topics that offer CCBC business service support
· Clear, professional and timely communication across all platforms
