Role Description This full-time, on-site Administrative Assistant role is based in Calgary, AB. The Administrative Assistant will support daily office operations by managing phone calls, greeting visitors, and responding to general inquiries in a professional manner. Responsibilities include scheduling appointments, maintaining calendars, organizing client files (digital and physical), and preparing basic correspondence and documentation. The role also involves data entry, filing, scanning, and assisting with the coordination of meetings, including preparing materials and arranging logistics. The Administrative Assistant will work closely with accountants and leadership to provide executive administrative support, maintain office supplies, and ensure a well-organized, client-focused office environment.

Qualifications

  • Strong Administrative Assistance and Clerical Skills, including scheduling, filing, document preparation, and data entry.
  • Professional Phone Etiquette and Communication skills, with the ability to interact clearly and courteously with clients and team members.
  • Experience providing Executive Administrative Assistance, such as calendar management, meeting coordination, and support for senior team members.
  • Proficiency with office software (e.g., Microsoft Office or Google Workspace) and comfort working with basic accounting or practice management systems.
  • High attention to detail, strong organizational abilities, and the capacity to manage multiple tasks and deadlines.
  • Ability to maintain confidentiality and handle sensitive client information with discretion.
  • Previous experience in a professional services, accounting, or financial environment is an asset.
  • Completed secondary education; post-secondary education in business administration or a related field is an advantage.
