Course Coordinator

Position Summary: Under the general direction of the Chair of department, oversees the day-to-day operations of teaching laboratories, a preparation lab, solvent/chemical storage rooms and general departmental labs. Coordinates technical and administrative support for teaching activities and research needs taking place in these facilities. Plans, coordinates and organizes field trips schedules. Assists the Chair with research, teaching, safety, curation of unit's facilities and equipment, and other technical issues, as needed. Participates in departmental public relations, communication and promotion of recruitment and career planning activities. Major Duties and Responsibilities: Support to Departmental Teaching Activities Oversees the execution of several undergraduate- and graduate-level teaching laboratories in food science and chemistry. Prioritizes and organizes laboratory schedule (several sections per week each semester). Coordinates experiments and services. Introduces subject matter at start of lab; demonstrates techniques and proper use of equipment; sets up demo equipment to be used in experiments; installs necessary equipment in the teaching lab prior to labs; resolves problems with experiments when labs are in progress; assists teaching assistants (TA's) during lab sessions. Ensures the provision of materials and set-up of equipment for experiments. Uses, maintains and provides training on a variety of equipment and techniques (pipette usage, spectroscopy, mass spectrometry, gas chromatography, liquid chromatography, extraction, food composition testing (fat, moisture, and protein), polarimetry, etc.). Assists and provides training on the analysis and interpretation of data obtained from such equipment and techniques. Coordinates, sets up and provides similar training and demos during short courses organized by the department (mainly during the summer semester). Confers with course instructors to obtain course objectives, course topics, and methodology. Collaborates with them to improve methodology for experiments or to develop and test new experiments; carries out occasional literature searches. In consultation with course instructors, assesses students' practical and data analysis/interpretation skills in the laboratories (including prelab and postlab assessments using McGill's learning management system); participates in the correction of students' written work, such as laboratory reports and assignments; instructs on how to properly complete lab reports. Reviews lab manuals; provides feedback to instructors on any discrepancies and on accuracy of contents. Organizes, schedules, ensures adequate training and oversees work of TA's and other temporary workers; Provides technical expertise regarding set-up of equipment and materials, execution or demonstration of experiments through weekly meetings with TA's; provides feedback to course instructors for the purpose of TA evaluations. Acts as liaison between teaching staff and TA's. Coordinates work of Work Study casual staff hired for lab preparation. Drafts casual employee job postings. Oversees cleanliness and upkeep of premises after lab sessions. Ensures safe operation of lab facility and appropriate handling, storage and disposal of hazardous waste. Maintains an easily accessible storage of commonly used materials and protective equipment (e.g. gloves, paper towels, Kimwipes, disposable pipettes, etc.) Coordinates, contacts various sources to investigate and arranges for new or on-going industrial/institutional field trip visits for courses with or without laboratory. Administrative Responsibilities Orders materials required for teaching laboratories (consumable reagents and media), as well as general supplies/services for use in research labs (e.g., commercial alcohol, lab coat cleaning) and cost charges these to PIs. Maintains inventory of solvents, chemicals or other materials and equipment in teaching laboratories. Contacts suppliers for price quotations. Prepares cost estimates for budget forecasts. Oversees, instructs and coordinates the use, maintenance and repair needs of various scientific tools or technical equipment, particularly the departmental common equipment and facilities (e.g. HPLC, multiplate reader, spectrometers, freezers, food analysis instruments). Oversees installation of new equipment. Attends and maintains up-to-date training for existing and new equipment. Tests and calibrates equipment before being used (e.g. pH meters, melting point machines). Keeps track of bookings, trainings of users, and usage notably using web-based tools. Provides consolidated usage data for departmental users for invoicing for usage or rental fees. Reconciles account. Oversees and assists in repair, maintenance, reorganization, expansion and modification of teaching, research as well as pilot facilities and its equipment. Works collaboratively with any other departmental and administrative staff. Performs accounting functions. Makes purchases with PCard and MMP following university guidelines; monitors and reconciles expenditures; verifies ledgers and resolves discrepancies. Prepares invoices for cost recoveries of user fees. Creates and maintains databases. Produces reports. Coordinates external servicing of equipment as needed. Controls keys for departmental spaces in the Macdonald Stewart Building and the Food Science/Food Chemistry Teaching lab in the basement. Serves on some departmental committees (safety committee, computer users committee) or work groups. Instructs lab users on safe laboratory practices. Identifies and reports unsafe practices, if any, and makes recommendations on remedial action. Assists, guides or may act as a judge in science fair and school science projects competitions by assisting students to undertake food science related projects. Participates and assists in developing, designing and improving content and appearance of department website, displaying units, posters, brochures and handouts, etc. by means of photography and audiovisual tools. Support to Faculty Research Users Has responsibility for departmental equipment used by non-departmental users. Keeps track of bookings, usage and collecting & invoicing for usage or rental fees. Reconciles account. Provides technical expertise and assistance to graduate students and PI's encountering problems with their research protocols or experiments or proper use of equipment. Oversees Commercial alcohol purchasing, receiving, storage, distribution and annual reporting for teaching and research purpose. Records all transactions for inspection by Custom and Revenue Canada inspectors at any time. Oversees and coordinates the Faculty Solvent / Chemical storage room for receiving, storage and distribution of chemicals /solvents and commercial alcohol. Maintains expertise in relevant fields such as food science, food analysis, and chemistry. Other Qualifying Skills and/or Abilities: Demonstrated capacity to manage data and use computer programs including Outlook, Internet, MS software (Excel, Word, PowerPoint), virtual platforms such as Zoom and MS Teams, Minerva and MMP. Ability to order materials and supplies, track course and maintenance expenses, and maintain financial records in accordance with McGill guidelines. Proven organizational skills. Ability to multi-task and maintain equipment and facilities in a clean, safe and tidy condition when used for multiple simultaneous activities. Attention to detail in all aspects of the work.
