Accommodations are available during the hiring process, upon request.As a Senior Administrative Assistant, you will provide a high level of support to the Utilities Delivery Senior Leadership, aiding in the efficient and successful operation of the business. In addition, you will liaise with staff across the City and represent the Utilities Delivery through correspondence with various levels of government, industry, and the public. Primary duties include: Manage calendars for Managers, identifying and resolving calendar conflicts and analyzing and optimizing priorities and commitments. Manage meetings by collecting and distributing agenda items, capturing discussions, decisions, and action items in meeting minutes, distributing minutes accordingly and saving them in Content Server or SharePoint. Help with Accounts Payable Workflow items, including processing invoices for payments via corporate credit card or non-purchase order payment requests, entering online requisitions, performing credit card reconciliations, and reviewing transactions to submit corrections to Finance and Information Technology (IT). Perform general office duties, including coordinating workspace moves, ordering supplies, catering, filing, copying, and scanning. Coordinate and book travel for multiple conferences and events. Coordinate logistics for various team workshops, team building events, and ground opening ceremonies. Maintain accuracy of multiple tracking spreadsheets, including vacation, training, conferences, site visits, distribution lists, and organizational charts. Prepare and maintain various forms of correspondence and documents, including e-mails, letters, reports, management meeting agendas, and minutes with attention to detail and professionalism, accuracy, and speed. Monitor and follow through on 311 requests. Create and maintain Microsoft Teams channels for divisional teams. Qualifications A high school diploma or equivalency (e.g., GED or CAEC [Canadian Adult Education Certificate]) and at least 8 years of experience in an administrative assistant capacity; OR A completed 1-year certificate in Business, Office Administration, or a related field and at least 5 years of experience in an administrative assistant capacity. Advanced skills in Microsoft Office Suite (Word, Outlook, Excel, and PowerPoint). Previous experience with SharePoint, Adobe Acrobat, and the Protection of Privacy Act (POPA) requests is a strong asset. Experience with Enterprise Content Server or a similar Records Management software is considered an asset. Excellent communication and relationship building skills with the ability to maintain confidentiality and exercise discretion when disseminating information. Success in this position requires exceptional judgement, critical thinking, and problem-solving skills, and the ability to work independently and within a team. You are highly motivated and adaptable to quickly changing and multiple priorities. Pre-employment Requirements Successful applicants must provide proof of qualifications.
