Executive Assistant/Operations Coordinator

Type: Full-Time

TwelveSix Services is a Calgary-based advisory and development firm operating at the intersection of energy, infrastructure, power, and data center development.

We work with clients on complex transactions, project origination, asset evaluation, regulatory coordination, commercial strategy, and project execution.

We are a small, entrepreneurial team working on large-scale opportunities across Alberta’s evolving energy and compute infrastructure landscape. As we grow, we are looking for a highly organized and proactive person to help keep the business moving, the leadership team focused, and daily operations running smoothly.

Role Overview

The Executive & Operations Coordinator will support the founders and executive team across scheduling, communications, meeting preparation, document coordination, project tracking, internal operations, and administrative workflows.

This role is ideal for someone who is highly organized, detail-oriented, trustworthy, and comfortable working in a fast-paced environment where priorities can shift quickly.

Key Responsibilities

  • Manage calendars, meetings, travel, calls, and day-to-day scheduling.
  • Prepare agendas, take meeting notes, track action items, and follow up on next steps.
  • Draft, format, proofread, and coordinate emails, memos, proposals, presentations, and other business documents.
  • Support client, partner, vendor, and advisor communications.
  • Maintain organized digital files, folders, templates, contracts, proposals, meeting notes, and company records.
  • Help manage internal task systems, project trackers, CRM tools, and administrative workflows.
  • Support onboarding of new team members, contractors, vendors, and service providers.
  • Coordinate meetings with clients, developers, investors, consultants, and strategic partners.
  • Help prepare materials for business development meetings, proposals, site packages, investor discussions, and project updates.
  • Provide limited personal administrative support, including appointments, travel, errands, reminders, reservations, and other logistics as needed.
  • Handle confidential business and personal information with discretion and professionalism.

Required Skills & Experience

  • 3+ years of experience in an executive assistant, administrative coordinator, operations coordinator, or similar role.
  • Strong organization, scheduling, and calendar management skills.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and follow-through.
  • Comfortable managing multiple priorities in a fast-paced environment.
  • Confident asking questions when something is unclear.
  • Proficient with Google Workspace, Microsoft Office, Slack/Teams, and task management tools.
  • Professional, resourceful, discreet, and solutions-oriented.
