Position reports to: CEO and President

Position Supports: Chief Operations Officer, Chief Financial Officer and Chief Risk Officer

Position status: Full time

Position category: Permanent

Location: Calgary, Alberta

Work hours: Monday - Friday 8am - 5pm (40 hours/week)

WHAT'S THE BIG IDEA?

As our Operations Executive Assistant you will be an integral member of the executive support team, responsible for delivering high-level administrative and operational support to three senior executives. This role plays a crucial part in ensuring the smooth operation of the finance, risk management, and operations functions within the organization.

HOW DO YOU FIT IN?

The successful individual will have the following experience, education, and ability to develop these demonstrated skills:

  • Bachelor's degree or equivalent work experience.
  • Proven experience as an executive assistant or in a similar role.
  • Strong organizational, time management, and multitasking skills
  • Excellent communication and interpersonal abilities.
  • High level of professionalism and discretion.
  • Proficiency in using office software and tools, including MS Office Suite.
  • Familiarity with corporate governance and board management practices

WHAT YOU WILL BE DOING

80% - Executive Administrative Activities

  • Travel and Itinerary Management: Efficiently coordinate domestic and international travel arrangements, including itineraries, accommodation, and transportation, ensuring a seamless and stress-free travel experience for the executives.
  • Expense Management: Accurately process and track expenses, ensuring adherence to financial policies and the timely reimbursement of expenses for the executives.
  • Inbox and Communication Management: Manage email correspondence including replying on behalf when appropriate, screen incoming communications, and prioritize messages, ensuring that important matters are addressed promptly while learning the executives position, and the operation of departments to quickly action items that don't require the executives attention.
  • Calendar Management: Organize and optimize the executives 's calendar, scheduling meetings, appointments, and important events efficiently, while minimizing scheduling conflicts.
  • Meeting Organization: Plan, coordinate, and facilitate executive meetings for the executives, including the preparation of agendas, presentations, recording minutes, and ensuring follow-up on action items to support the productive use of the executives 's time. Assisting in coordinating one to one meetings, accountability (RACI) metrics, and other strategic initiatives.
  • Research: Conduct research and analysis to support the executives in decision making, problem solving, and strategic planning.

10% - Legal Activities

  • Prepare and review legal documents for filing with legal counsel or regulatory agencies
  • Prepare, review, proofread legal, communications and correspondence for accuracy, completeness, and compliance with the company's policies as well as legislation and regulations as required
  • Maintain and organize confidential and sensitive files, records, and information, and ensure compliance with policies and regulations

10% - General Administrative Activities

  • Take the initiative to proactively plan ahead and seek out suggestions and approaches to improve where needed.
  • Schedule and organize calendars, meetings, events and travel arrangements for other departments/Company as needed
  • Develop and maintain administrative policies and procedures to streamline office operations.
  • Assist/plan in coordinating employee events, Christmas parties, and social activities
  • Assist/plan in coordinating special events for clients and strategic partners
  • Managing special projects as needed and other duties as assigned
  • Work with Front Office Manager on office needs including phone coverage when required
