Implementation Administrator

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for an Implementation Administrator based in Canada. The Implementation Administrator will play a key role in coordinating client implementation projects, ensuring smooth execution from planning through delivery and transition. Working closely with project leadership and cross-functional teams, this professional will help maintain project schedules, track milestones, and keep stakeholders aligned. The role involves preparing documentation, monitoring deliverables, coordinating meetings, and following up on action items to support consistent project progress. The successful candidate will contribute to quality assurance, change management, data conversion, and integration coordination while helping projects meet agreed requirements. This position offers the opportunity to work in a remote, client-facing environment supporting technology solutions for the insurance sector. The ideal candidate is proactive, highly organized, and comfortable managing competing priorities while communicating effectively with technical and non-technical teams. A willingness to learn and responsibly use AI-powered tools will also be important in improving documentation, research, and workflow efficiency. Accountabilities - Support the planning, coordination, and execution of client implementation projects, helping ensure activities remain aligned with project objectives and deadlines. - Coordinate with internal teams and external stakeholders to track milestones, deliverables, risks, dependencies, and project timelines. - Gather, analyze, and summarize project information to prepare status reports and provide clear updates on progress. - Maintain project communication plans and organize internal and client meetings, including scheduling, agenda preparation, and documentation of decisions and action items. - Monitor assigned tasks, follow up with stakeholders, and help ensure timely completion of project activities. - Assist with change requests by documenting their potential impact on project scope, schedules, and budgets.

- Coordinate data conversion and integration activities, helping ensure deliverables meet quality standards and contractual requirements. - Support the preparation and maintenance of training materials, technical documentation, user guides, and other implementation resources. - Facilitate client communication throughout implementation and transition periods, contributing to a positive customer experience. - Assist with post-project evaluations, documenting lessons learned and identifying opportunities to improve future implementations. - Learn and use organizational technology systems and AI-enabled tools responsibly, validating outputs and applying sound judgment. - Provide administrative and coordination support to project leadership and undertake additional duties as needed to support implementation success. Requirements - 2–5 years of experience in project coordination, project administration, or a related role. - Strong organizational and time-management skills, with the ability to manage multiple priorities and maintain accurate project records. - Excellent written and verbal communication skills, including the ability to coordinate effectively with clients and internal stakeholders. - Exceptional attention to detail, with a consistent approach to tracking action items, monitoring deadlines, and ensuring follow-through. - Experience in a client-facing environment is considered an asset. - Familiarity with Agile and Waterfall project management methodologies and associated tools. - Proficiency in Microsoft Office applications, particularly Excel, Word, PowerPoint, SharePoint, and Teams. - Familiarity with tools such as Miro, Claude, and Azure DevOps (ADO). - Ability to collaborate effectively with both technical and non-technical teams.
