Our company is looking for a Receptionist/Administrative Assistant to join our team.

Responsibilities:

  • Manages the bookings for meeting rooms and ensures rooms are presentable. Orders catering and prepares refreshments as needed;
  • Greets, announces and directs visitors to provide a professional corporate image and all guests entering the building are identified;
  • Performs administrative duties as required which may include overflow typing, data entry, filing and archiving of documents;
  • Managing senior leadership calendars;
  • Stocking/cleaning kitchen daily (ensuring dishes are clean and put away);
  • Minimum 2 years of experience in a similar position;
  • Ordering groceries and lunch orders on a weekly basis;
  • Advanced understanding of accounting principles, invoicing, and basic accounts receivable knowledge;
  • Fast learner;
  • Arrange travel schedules and reservations, this can include booking hotels, conferences, and flights;
  • Greet clients, answer telephone calls;
  • Being the main point of contact to all vendors;
  • Provide clients with prompt, courteous and professional service;
  • Monitoring, ordering and stocking office supplies;
  • Responsible for organizing and planning social events, onsite and offsite.

Requirements:

  • High level of enthusiasm;
  • Have a creative mindset that enjoys event planning;
  • 2-3+ years experience in similar roles;
  • Ability to analyze problems and come up with solutions independently;
  • Demonstrates an ability to prioritize and adapt to differing assignments and deadlines;
  • Strong organization, time and client management skills;
  • Fast learner;
  • Fluent in French and English;
  • Exceptional organizational skills;
  • Possess excellent interpersonal, organization, and verbal and written communication skills;
  • Minimum 2 years of experience in a similar position;
  • Ability to prioritize tasks and duties while demonstrating flexibility to changing priorities and demands;
  • Advanced understanding of accounting principles, invoicing, and basic accounts receivable knowledge;
  • Post-Secondary Education or equivalent;
  • Is proficient in Microsoft Office, can produce reports, documents, and presentations.
