Our company is looking for a Administrative Assistant to join our team.

Responsibilities:

  • Assist in the preparation of regularly scheduled reports;
  • Prepare reports, and other administration activities as required;
  • Greet visitors, ascertain nature of business and direct visitors to employer or appropriate person;
  • Record and prepare minutes of meetings,
  • Oversee the proper functioning and logistics of the office (stationary management, office furniture, etc.);
  • Periodically update all WSIB certificates and request new ones as needed;
  • Manage office inventory and order supplies;
  • Formatting of documents;
  • Sending & receiving faxes & emails;
  • Schedule meetings;
  • Keeping clients up to date with their file;
  • Bind and collate reports, ensuring that the copying process runs smoothly and orderly;
  • Order and maintain office supplies;
  • Administer MBA referral (rewrites on failed courses) process;
  • Reservation management for the conference room and co-working space.

Requirements:

  • Highly organized with attention to detail;
  • The individual will work in the office space within the Warehouse/Production facility;
  • Completion of secondary school is usually required;
  • Reliable;
  • Ability to prioritize workload and handle multiple tasks simultaneously;
  • Strong organizational skills;
  • Rigour, proactive in follow-ups;
  • Excellent computer skills, especially typing;
  • Excellent communication skills in English;
  • Excellent communication (written and oral) and interpersonal skills;
  • Hands-on experience with office equipment (e.g. fax machines and printers);
  • Greet people and direct them to contacts or service areas;
  • 2 years experience as secretary or administrative assistant in the field of construction or renovation;
  • Strong communication and interpersonal skills;
  • High school diploma required; Associate’s or Bachelor’s degree in Business Administration or Engineering is preferred plus.
