Sales Coordinator

The sales coordinator assists the sales manager in their functions. This person will interact with hotel guests, clients, and employees to ensure impeccable customer service and achieve departmental goals. The ideal candidate should be organized, possess interpersonal skills, demonstrate enthusiasm, and maintain a high level of discretion concerning confidential records. Responsibilities also include, but are not limited to: receiving incoming phone calls, processing client requests, following up on multiple files, keeping various filing systems up to date, serving as a liaison between different departments, generating reports, and creating presentations. The person will also need to perform and manage daily data entry in the hotel’s sales software. This position is essential for the smooth operation of the sales department and the hotel in general and contributes significantly to maintaining a professional environment.

Responsibilities and Job Tasks

• Receive incoming phone calls

• Process client requests

• Follow up on multiple files

• Serve as a liaison between different departments (sales, restaurant, kitchen, reservations, reception…)

• Administrative follow-up of all completed and planned activities

• Data entry in Opera (input corporate rates, groups, rooming lists, etc.)

• Create hyperlinks on TravelClick for corporate and group contracts

• Coordinate room groups with or without banquets (input room list into software, follow up with the group before and after the stay, ensure payment receipt)

• Create and send group summaries to various departments

• Communicate important information clearly to the different departments

• Send invoices after groups depart

• Be the operational contact for groups

• Conduct hotel tours in the absence of the sales manager

• Create solicitation lists for new clients for sales managers

• Implement procedures related to the sales department

• Assist the group manager in analyzing figures and budgets

• All other related tasks.

• Two years of experience in administration and coordination.

• Perfectly bilingual (French, English) in both oral and written forms.
