Volunteer and Education Coordinator

VOLUNTEER AND EDUCATION COORDINATOR (FULL-TIME, PERMANENT)

Purpose of the Position

The Volunteer and Education Coordinator is responsible for ensuring the Museum maintains a healthy volunteer program. They guide the Museum’s volunteer program. They ensure that the museum’s volunteers have all of the necessary skills and tools to complete educational programs and interpretive activities. Together with the executive team, and Education Manager, the Volunteer Coordinator ensures that volunteer policies are up to date, and that volunteer investments are well recognized.

The Volunteer and Education Coordinator assists the Education Manager with the Museum’s programming, education, and interpretation activities working closely with the community in sharing the stories about flight from science, technology, engineering, art, and math perspectives. Depending upon the season, this role will spend up 20-60% of their time delivering educational programs, with November-June being more heavily focused on program delivery and July-October more focused on volunteer recruitment, training, and recognition.

Reporting

This position reports directly to the Education Manager.

Key Responsibilities

VOLUNTEER MANAGEMENT

• Recruitment, retention, and recognition of volunteers: this includes interviewing potential volunteers, managing paper and electronic files of the volunteers, compiling and updating necessary paperwork from them (i.e., security clearances), scheduling and leading orientations and training, planning special recognition events, and acquiring donations for volunteer recognition
• Updating all volunteer policies and procedures, and ensuring that they are followed
• Scheduling volunteers for special events, museum hosts and specific youth programming
• Utilizing Better Impact for volunteer files, training, expectations, and scheduling
• Creating additional volunteer opportunities as needed
• Day-to-day supervisor of Education Volunteers and weekday Museum Hosts: this includes scheduling, training and orientation, providing necessary information when needed
• Creating relationships with volunteers; listening to issues and mentoring
• Helping co-workers be Day-to-Day Supervisors: providing mentorship and advice when needed regarding volunteer issues, and ensuring all volunteers are getting proper training and evaluations
• Maintaining volunteer department budget, and writing end of year reports
• Responsible for ensuring that the volunteer kitchen is kept stocked and cleaned
• Writing monthly reports on volunteer engagement
• Active recruitment of volunteers
• Recruiting and scheduling volunteers for our fundraising casino that occurs roughly every 14-20 months

EDUCATION AND PROGRAMMING

• Apply museum education and visitor engagement expertise to specific on-going projects approved by the Board
• Inventory of supplies for programs and purchasing and preparation of supplies
• Maintains and grows community relationships related to programming
• Responsible for keeping educational spaces clean and organized
• Pursues (and strategizes) new programming to bring earned revenue for the Museum
• Creates online educational content, including for the Museum’s website and social media channels, as needed
• Leads programming during internal special events
• Leads programming throughout the year as needed for youth and school programming, as well as interpretive activities for the public and off-site outreach programing; this supports the team so that we can meet booking requests. Leading programming will take 20-60% of this role’s hours depending upon the season
• Assists with ensuring that internal events have amazing educational opportunities

LEADERSHIP

• Prepares budgets and monitors expenditures specific to volunteers
• Be an active participant networking with other museums, professionals, community groups, and outside agencies
• Prepares funding applications and grants related to areas of responsibility as required, and searches for available funding sources to support the Museum’s Business Model and plans
• Provides information and direction to the Board as requested by the Executive Director
• Assists with raising funds and the profile of the Museum through participation in community events
• Actively fosters a culture that reflects the Museum’s values (Our Compass) and builds a strong cohesive volunteer team
• Collaborates on team projects, representing the Museum at outreach events as needed and helping at the front desk and running the cash register when needed, and helping with exhibits as needed

Hours of Work

37.5 hours per week, Monday-Friday, 9am-4:30pm. Weekend and evening shifts will be occasionally required as bookings and events require.

Qualifications and Assets

• Education and/or experience relating to early childhood and elementary school education
• Familiarity with the Alberta Education Science Curriculum (preferred)
• Strong interpersonal skills
• Experience applying for grant applications would be considered an asset
• Experience with Better Impact would be considered a significant asset
• Excellent written and verbal communications skills
• Ability to deal proactively with change
• Effective time management skills and an ability to handle multiple deadlines concurrently
• Education and/or experience in employee and volunteer training and management
• 2+ years of education programming experience, including creating new programs
• Proof of vaccination is required for this position due to school field trip requirements
• Current first aid certification, or a willingness to complete this training
• A valid class 5 license and regular access to a vehicle

Minimum Standards

• High School Diploma, University Degree in a related field considered a strong asset
• Ability to work weekends and holidays occasionally when required
• Criminal Record Check including Vulnerable Sector Check

Physical Demands

• Standing on hard floors for long periods of time
• Moving boxes and other support material (supplies, displays etc.)
• Ability to lift up to 10 kilograms

Salary

$23-25.50/hour, plus benefits after a 90-day probationary period.
