Job Summary:
The Payroll Administrator is responsible for compiling payroll and benefit (“payroll”) information , ; preparing the bi-weekly payroll , ; processing payroll information , ; completing and submitting payroll reports; maintaining payroll records.
Key Duties and Responsibilities:
- Operates computerized payroll systems and software
- Processes payroll/benefit information for employees in accordance with appropriate scales , regulati ons, and authorized deductions
- Balances the payroll accounts by resolving payroll discrepancies
- Calculates and maintains records for all salary placements and increments
- C alculates, prepares, reconciles payroll for payroll remittances
- R econciles payroll deduc tions to general ledger accounts
- Determines benefit eligibility for employees
- Enters, maintains , and updates employee benefits information online for Benefit Carriers
- Prepares and/ or assists in preparation of monthly and annual reports from payroll data for unions, pensions , and various government departments
- Answers payroll/benefit related inquiries from emp loyees, supervisors and external agencies
- Ensures compliance with federal and provincial regulations and guidelines
- Maintains payroll operations by following policies and pr ocedures
- Reports changes when needed
- Keeps abreast of any changes in legislations that impact payroll administration
- Reviews and reconciles annual payroll accounts in prep aration for the annual audit
- L iaise s with auditors as
- Assists the Finance team in reconciling all payroll accounts including remittance accounts and the payroll register as
- Assist s and perform s back up duties for other finance staff inc luding general ledger entries
- P repare s mont hly reports to program managers to assist in tracking and analyzing expenses
- Prepares ad-hoc and analytical reports and summaries as
- Perform s other related duties assigned by the Finance Manager
Education, Training and Experience:
- Bachelor’s degree in Accounting or Finance or Business
- Payroll Compliance Practitioner (PCP) certification through Canadian Payroll Association
- Minimum of 3 years’ payroll and benefits administration experience
- Experience working in non-profit sector is an asset
- Knowledge of unionized payroll
- Knowledge of Comvida and Payworks systems is an asset
- Knowledge of applicable Federal and Provincial privacy legislation
