Position Summary: Reporting to the Student Financial Services Manager, the Student Financial Services Records Coordinator is a unique position within the Student Financial Services (SFS) team, responsible for ensuring the integrity of data shared between the Centennial's student information system (Banner) and the Ministry of College and University administration portal (One-key). The incumbent is the subject matter expert of ONe-key and responsible for key duties related to the database. The role also supports the SFS team during peak times to facilitate a smooth and seamless experience for students at the start of each semester, providing advisory and consultative financial aid services for students.

Responsibilities:

• Lead for Ministry of College and University- OSAP Administration Portal One-Key Data Management for OSAP including year-to-date files, confirmation reports, academic progression reports.
• Analysis of information and reporting refunds to the National Student Loan Service Centre (NSLSC) and, in collaboration with Records Department, determining student eligibility of MCU refundable tuition fees.
• Review data reports and assign duties associated with student academic progress, withdrawals and credit balances, under the terms of OSAP eligibility, to SFS team.
• Annual submission of Centennial's cost-codes to MCU and ongoing reconciliation of codes to ensure student records accurately reflect changes and updates.
• Analysis of MCU information to determine current and possible OSAP eligibility and refund eligibility related to OSAP Academic Progress policy and procedure.
• Providing administrative support for MCU Compliance Inspections;
• Prepares training materials and presents information about new and updated Ministry policies, procedures and guidelines to ensure they are effectively communicated to, and understood by, the SFS team.
• Developing instructional materials and presenting training sessions on new MCU electronic processes, providing OSAP and financial aid workshops for SFS team.
• Providing client services during peak times and to support SFS team.

Qualifications/Experience:

• Three (3) year diploma in Business, Finance, Accounting, Computer Studies or Administration, or an equivalent combination of education and work experience
• Minimum five (5) years of relevant administrative experience in an office or post-secondary environment
• Expert knowledge of Ontario Student Assistance Program assessment, senior appeal circumstances and advising.
• Expertise with computer and database systems, including ONE-Key, AS400, Banner student information systems, Word, Access, Power Point, Excel, etc.
• Proven ability to comprehend complex Ministry policies and guidelines, to optimize students funding opportunities through analysis and assessment of individual student needs.
• Highly organised with ability to manage competing priority deadlines.
• Strong communication skills to explain and resolve complex issues related to data, processes, and information
• Proven ability to maintain the strictest confidence regarding student data (in accordance with college policies and procedures and with the Ontario's Freedom of Information and Protection of Privacy Act), and commitment to protecting the security of information systems access codes.
• Strong communication skills required to present training sessions for SFS team on complex OSAP process changes and to assign work to colleagues.
• Ability to interact and communicate respectfully in a diverse environment, and deal effectively with conflict.
