Hours: Monday to Friday 8:00 a.m. to 4:30 p.m.

J.L. Refrigeration Inc. is one of the GTAs leading supermarket refrigeration service companies. Our mission is simple: to provide our customers with dependable high-quality service every time.

We are looking for an organized customer-focused Service Coordinator/Dispatcher to join our team. This is a key role within our Service Department coordinating emergency service calls preventative maintenance technician schedules customer communication and service administration.

The ideal candidate is calm under pressure comfortable managing competing priorities and committed to delivering an excellent customer experience.

What Youll Do:

• Receive prioritize and track incoming service requests.
• Dispatch technicians based on urgency location availability and required skills.
• Coordinate technician schedules and communicate changes as needed.
• Manage preventative maintenance programs and ensure work is completed by target dates.
• Keep customers informed about the status of their service calls.
• Respond to customer questions and help resolve service-related concerns.
• Prepare send and track service quotes ensuring accuracy and timely follow-up.
• Manage customer service portals including acknowledging calls updating statuses and following up on incomplete work.
• Review and price completed work orders for billing.
• Prepare invoices in QuickBooks and assist with accounts receivable follow-up.
• Cost and track service projects.
• Reconcile technician work orders with timesheets.
• Maintain accurate and complete electronic and paper records.
• Provide administrative assistance and backup support to the Operations Manager and Service Manager.

• Strong computer skills including Microsoft Outlook Word Excel and Windows.
• A willingness to learn and work as part of a team.
• Previous dispatch service coordination or administrative experience is preferred.
• Experience in refrigeration HVAC construction or another mechanical trade is considered an asset.
• Experience with QuickBooks and customer service portals is considered an asset.
