Primary Responsibility:

Reporting to the Shipping & Receiving Manager, the primary responsibility of the Shipping and Receiving Administrator is to coordinate shipments and ensure the accurate and timely delivery of goods.

Key Accountabilities:

Shipping Coordination:

• Collaborate with suppliers, carriers, and internal stakeholders to arrange shipments and ensure timely delivery of goods.
• Prepare shipping documents, such as bills of lading, shipping labels, and export/import documentation.
• Coordinate with customs authorities to ensure compliance with international shipping regulations.
• Monitor and track shipments to provide accurate and up-to-date information to relevant parties.
• Address any shipping-related issues or delays promptly to minimize disruptions.

Receiving Process Management:

• Oversee the receiving process, including the verification, inspection, and documentation of incoming goods.
• Collaborate with warehouse personnel to ensure accurate inventory counts and resolve discrepancies.
• Coordinate with suppliers and internal departments to address quality issues or missing items.
• Ensure proper storage and organization of received goods to facilitate easy retrieval and inventory management.

Documentation and Reporting:

• Maintain accurate records of shipments, receipts, and other relevant documentation.
• Generate regular reports on shipping and receiving activities, including performance metrics and KPIs.
• Analyze data to identify trends, areas for improvement, and cost-saving opportunities.
• Develop and implement standard operating procedures (SOPs) to enhance efficiency and compliance.

Must Haves:

• Undergraduate degree in logistics, supply chain management, or a related field (or equivalent work experience).
• Proven experience in shipping and receiving processes, preferably in a manufacturing or distribution environment.
• Strong knowledge of international shipping regulations and customs procedures.
• Excellent organizational skills and attention to detail to ensure accuracy in documentation and inventory management.
• Strong problem-solving and decision-making abilities in addressing shipping-related issues and optimizing processes.
• Effective communication and interpersonal skills to collaborate with internal and external stakeholders.
• Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment.
• Flexibility to adapt to changing priorities and handle multiple projects simultaneously.
• Valid forklift driving ticket.
