Receptionist - Hybrid - Part Time

The Role

Our client is seeking a polished, client -focused Receptionist to support a busy front office. This role is ideal for someone who is calm under pressure, enjoys variety, and can confidently manage phones, email inquiries, and shifting priorities. You’ll support day -to -day office operations, assist with basic administrative tasks, and help keep information organized and up to date. <\/span>
<\/span><\/p>

This is a <\/span> hybrid position <\/span><\/b> with a <\/span> rotating bi -weekly schedule <\/span><\/b> coordinated with another part -time receptionist. Scheduling may adjust periodically based on operational needs. <\/span>

Typical rotation: <\/span><\/b>
<\/span><\/p>

• Week 1: <\/span><\/b> 2 evenings (5:00pm–9:00pm) remote + Saturday in -office (9:00am–5:00pm) — approx. <\/span>16 hours <\/span><\/b>

• Week 2: <\/span><\/b> 3 evenings (5:00pm–9:00pm) remote — approx. <\/span>12 hours <\/span><\/b>

  Responsibilities <\/span>
  <\/span><\/h3>

  • Answering phones and emails; responding professionally and routing inquiries appropriately <\/span>
    <\/span><\/li>
  • Scheduling and managing appointments using office and industry software <\/span>
    <\/span><\/li>
  • Scanning/copying documents for internal and external use <\/span>
    <\/span><\/li>
  • Preparing and sharing basic daily/monthly reports (as required)<\/span>
    <\/span><\/li>
  • Supporting general office coordination (supplies, basic troubleshooting, keeping things moving)<\/span>
    <\/span><\/li>
  • Assisting with data entry and database updates <\/span>
    <\/span><\/li>
  • Supporting listing -related admin tasks (training provided on internal process/tools as needed)<\/span>
    <\/span><\/li>
  • Other ad hoc administrative requests to support the team <\/span>
    <\/span><\/li><\/ul>

    Desired Experience & Skills <\/span>
    <\/span><\/h3>

    • 2+ years of experience in an office/reception or administrative role (industry experience is an asset)<\/span>
      <\/span><\/li>
    • Strong communication skills (professional phone presence + clear written correspondence)<\/span>
      <\/span><\/li>
    • Comfortable with Microsoft Office (Word, Excel) and online systems/databases <\/span>
      <\/span><\/li>
    • Strong attention to detail and ability to follow processes <\/span>
      <\/span><\/li>
    • Confident prioritizing multiple tasks in a fast -moving environment <\/span>
      <\/span><\/li>
    • Reliable, proactive, and discreet with confidential information <\/span>
