Fulfillment & Warehouse Operations Coordinator

Position Summary

The Fulfillment & Warehouse Operations Coordinator is responsible for coordinating the day-to-day execution of fulfillment, pick-and-pack, warehouse, and logistics activities.

This is a hands-on operational role that works closely with warehouse staff, office teams, clients, staffing resources, and final-mile delivery partners. The successful candidate will be organized, proactive, dependable, and comfortable taking ownership of daily priorities to ensure production targets and shipping deadlines are met.

Full training will be provided on our internal processes, client requirements, systems, carrier portals, and operational procedures. We do not expect the successful candidate to know every aspect of the role from day one. We are looking for someone with a strong operational foundation, a willingness to learn, and the ability to gradually take ownership of the position as they become familiar with our operation.

Key Responsibilities

Fulfillment, Pick-and-Pack & Production

• Plan and coordinate fulfillment programs based on client requirements, production volumes, inventory, and deadlines.
• Prepare and finalize orders, quantities, production requirements, and client-specific instructions or exceptions.
• Review inventory and backup stock when planning upcoming production.
• Track incoming materials and communicate shortages, missing items, and expected arrival times.
• Ensure all labels, documents, and required production materials are prepared and printed before shift workers arrive.
• Verify labels, documents, quantities, and other production materials for accuracy before production begins.
• Count and reconcile labels against U.S. and Canadian production requirements.
• Track completed boxes and production quantities throughout each shift.
• Provide shift workers with clear daily production targets, priorities, and instructions.
• Prioritize core production volumes before custom boxes, add-ons, and other secondary work.
• Ensure sufficient inventory and product variety are available for add-ons and customized orders.
• Monitor production progress throughout the day and proactively address delays or operational issues.
• Keep clients informed of production progress, including providing notice as orders approach completion.

Warehouse & Logistics Operations

• Plan daily warehouse activities based on production volumes, inbound and outbound skids, staffing requirements, inventory, and final-mile schedules.
• Determine staffing requirements based on expected production volumes and operational needs.
• Coordinate with final-mile delivery partners, including Intelcom, UniUni, Purolator, and Canada Post , regarding pickups, shipments, and delivery requirements.
• Perform regular inventory checks and communicate shortages or replenishment requirements.
• Coordinate the wrapping, staging, loading, and unloading of skids.
• Coordinate the ordering and availability of skids and other warehouse materials as required.
• Perform arrival scans, dispatch activities, and other shipment-processing functions.
• Coordinate between the office and warehouse to ensure operational information, priorities, and client requirements are communicated accurately.
• Coordinate and handle heavy or bulky shipments, including DTDC shipments.
• Support customs-related logistics and communicate with CBSA when required.
• Perform occasional driving, pickups, deliveries, or other transportation duties as required.
• Assist with general warehouse operations during busy periods and peak seasons.

Training & Development

We recognize that every fulfillment and logistics operation works differently. Comprehensive on-the-job training will be provided , including training on:

• Internal workflows and standard operating procedures
• Client-specific fulfillment requirements
• Production planning and daily warehouse processes
• MyFBX and other internal systems
• Canada Post, Intelcom, and other carrier portals
• Shipping, scanning, and dispatch procedures
• Inventory and fulfillment processes
• Relevant customs and CBSA procedures

The successful candidate will work alongside experienced team members during the training period and will be given time to learn the operation before being expected to independently manage all aspects of the position.

Requirements & Qualifications

• 3–5 years of relevant experience in warehouse operations, logistics, fulfillment, distribution, courier operations, production, or a related environment.
• Previous experience in an operational leadership position such as Lead Hand, Team Lead, Supervisor, Coordinator, or Manager is preferred.
• Post-secondary education in Logistics, Supply Chain Management, Operations Management, Business Administration, or a related field is an asset.
• Strong organizational and planning skills, with the ability to manage multiple priorities and deadlines.
• Strong problem-solving skills and the ability to anticipate operational requirements.
• Proactive and dependable, with a strong sense of ownership and initiative.
• Strong communication and interpersonal skills when working with clients, employees, carriers, and internal teams.
• Strong English communication skills are required. Additional languages, including Punjabi or Hindi , are considered an asset.
• Comfortable working in both an office and warehouse environment and taking a hands-on approach when required.
• Ability to safely lift and move heavy or bulky shipments and warehouse materials.
• Valid driver's licence and ability to perform occasional work-related driving.
• Basic working knowledge of Google Sheets, Microsoft Excel, Microsoft Office, and standard printing systems .
• Comfortable learning new systems, software, and carrier portals. Prior experience with our specific systems is not required, as training will be provided.
• Consistent attendance and punctuality are essential.
