Operations Manager Specialist-fully remote

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Strategic Operations Specialist based in Canada. Your work will support deal sourcing, investor communications, document management, scheduling, and day-to-day coordination. You will act as a reliable operational partner, helping leadership stay focused on strategic priorities by taking ownership of essential processes. The role combines structured administration with process improvement, research, CRM management, and technology-enabled workflows. Accountabilities - Manage inbound inquiries from prospective searchers and investors, ensuring requests are handled promptly, professionally, and accurately. - Maintain and organize CRM records, ensuring critical pipeline and relationship information remains accurate, complete, and accessible. - Organize financial documents and other important business information to create a reliable source of truth for decision-making. - Support deal-flow operations by tracking opportunities, follow-ups, and relevant information throughout the pipeline. - Coordinate leadership schedules, office hours, meetings, follow-ups, and other administrative activities. - Proactively identify upcoming needs and take ownership of follow-ups and coordination without requiring constant direction. - Use AI-powered tools to summarize information, organize data, draft communications, and streamline recurring tasks. - Help identify operational bottlenecks and recommend practical improvements that enable the business to scale effectively. - Handle sensitive business, financial, and investor information with a high degree of discretion and confidentiality. Experience in operations, executive support, administrative coordination, investment operations, or a related field is valuable. - Highly proactive approach, with the ability to anticipate needs, manage follow-ups, and move projects forward independently. - Excellent written and verbal communication skills, with the ability to communicate professionally with investors, business partners, and internal stakeholders. - Strong attention to detail and accuracy when working with CRM records, financial documents, correspondence, and operational data. - Comfortable working with CRM and productivity platforms such as Airtable, HubSpot, or Salesforce. - Interest in and willingness to use AI tools to summarize information, organize data, and improve communication workflows. - Ability to work autonomously in a remote environment while maintaining accountability for deadlines and deliverables. - Reliable high-speed internet connection and a dedicated, quiet home workspace suitable for focused work and professional virtual meetings.
