About the Role

This is a rare and prestigious opportunity to serve as the right hand to the owner of a renowned high-end restaurant group. The ideal candidate will seamlessly manage the personal and professional affairs of a high-profile principal who is frequently travelling, operating with exceptional discretion, poise, and initiative at all times.

This role demands someone who thrives without supervision, anticipates needs before they arise, and brings a polished, service-first mentality to every interaction. The previous Executive Assistant held this position for over 30 years — a testament to the loyalty, trust, and satisfaction this role offers the right individual. There is real opportunity for the scope of this position to grow for the right person.

Key Responsibilities

Communications & Gatekeeping

  • Manage all inbound and outbound correspondence, including email, phone, and written communication
  • Act as a professional gatekeeper, screening and prioritising all communications on behalf of the principal
  • Serve as the primary point of contact for top-tier clients — handling calls with warmth, discretion, and efficiency
  • Manage client requests for private events, party bookings, special reservations, and VIP arrangements

Travel & Scheduling

  • Arrange all domestic and international travel, including flights, hotels, ground transportation, and itineraries
  • Anticipate travel needs, manage logistics proactively, and adapt plans as circumstances evolve
  • Coordinate appointments, service calls, and scheduling for the principal's home and personal matters

Financial Administration

  • Manage personal bank accounts, including monitoring activity and executing fund transfers
  • Process and remit GST on rental properties in compliance with CRA requirements
  • Handle personal and business tax payments and associated financial obligations
  • Pay household and personal bills in a timely and organised manner

Property & Household Coordination

  • Liaise with tradespeople, contractors, and service providers to schedule and oversee home repairs and maintenance
  • Manage home-related service appointments and follow up to ensure satisfactory completion

Client & Hospitality Relations

  • Build and maintain excellent relationships with the principal's most valued clients
  • Coordinate special dining experiences, private events, and bespoke requests with the restaurant team
  • Handle all client-facing communication with the same level of refinement that defines the principal's brand

What We're Looking For

This is not a conventional assistant role. You will be operating as a trusted extension of the principal himself. The right candidate will bring:

Skills & Qualifications

  • Minimum 5 years of experience as an Executive Assistant, Personal Assistant, or in a comparable senior support role
  • Strong, fluent French (spoken and written) and perfect English — both languages are required
  • Greek language skills are a significant asset
  • Solid understanding of personal financial administration, including banking, bill payments, and tax remittances
  • Experience managing complex travel arrangements, calendars, and high-priority communications
  • Comfortable with standard office and productivity tools; quick to adapt to new systems

Compensation & Working Conditions

  • Salary: $80,000 – $90,000 annually, based on experience
  • Comprehensive benefits package
  • In-office, five days per week — Monday through Friday
  • Flexible core hours: approximately 9:00 or 10:00 AM to 4:00 PM
  • Occasional after-hours or weekend availability required for time-sensitive matters
  • Reports directly to the principal; no formal supervisory structure

Il s'agit d'une occasion rare et prestigieuse de devenir le bras droit du propriétaire d'un groupe de restauration haut de gamme réputé. La personne idéale gérera avec aisance les affaires personnelles et professionnelles d'un dirigeant très en vue, souvent en déplacement, en faisant preuve en tout temps d'une discrétion, d'une élégance et d'une initiative exemplaires.

Ce rôle exige une personne qui s'épanouit sans supervision directe, qui anticipe les besoins avant qu'ils se manifestent, et qui aborde chaque interaction avec un professionnalisme irréprochable et une orientation vers le service. L'adjointe exécutive précédente a occupé ce poste pendant plus de 30 ans — un témoignage éloquent de la loyauté, de la confiance et de la satisfaction que ce poste peut offrir à la bonne personne. Il existe également une réelle possibilité d'évolution pour la personne qui en démontrera la capacité.

Principales responsabilités

Communications et gestion des accès

  • Gérer toute la correspondance entrante et sortante, y compris les courriels, les appels téléphoniques et les communications écrites
  • Agir à titre de gardien(ne) professionnel(le) des communications, en filtrant et priorisant les demandes au nom du dirigeant
  • Être le point de contact principal pour les clients de premier plan — traiter leurs appels avec chaleur, discrétion et efficacité
  • Gérer les demandes des clients pour des événements privés, des réservations de groupe, des soirées spéciales et des arrangements VIP

Voyages et gestion d'agenda

  • Organiser tous les déplacements nationaux et internationaux, incluant les vols, hôtels, transports et itinéraires
  • Anticiper les besoins en matière de voyages, gérer la logistique de façon proactive et adapter les plans selon les circonstances
  • Coordonner les rendez-vous, les interventions de service et la gestion de l'agenda personnel du dirigeant

Administration financière

  • Gérer les comptes bancaires personnels, incluant la surveillance des transactions et les virements de fonds
  • Produire et remettre la TPS sur les propriétés locatives conformément aux exigences de l'ARC
  • Gérer les paiements d'impôts personnels et professionnels ainsi que les obligations financières connexes
  • Payer les factures personnelles et domestiques de façon rigoureuse et ponctuelle

Coordination résidentielle

  • Communiquer avec les entrepreneurs, fournisseurs et prestataires de services pour planifier et superviser les réparations et l'entretien de la résidence
  • Gérer les rendez-vous liés à la propriété et effectuer les suivis nécessaires

Relations clientèle et hospitalité

  • Entretenir et développer des relations solides avec les clients les plus fidèles du dirigeant
  • Coordonner les expériences gastronomiques sur mesure, les événements privés et les demandes spéciales avec l'équipe du restaurant
  • Assurer toutes les communications avec la clientèle avec le même niveau de raffinement qui définit la marque du dirigeant

Profil recherché

Compétences et qualifications

  • Minimum de 5 ans d'expérience à titre d'adjoint(e) exécutif(ve), d'assistant(e) personnel(le) ou dans un rôle de soutien de haut niveau comparable
  • Français fort et courant (oral et écrit) et anglais parfait — les deux langues sont obligatoires
  • La connaissance du grec constitue un atout important
  • Bonne compréhension de l'administration financière personnelle, incluant les services bancaires, les paiements de factures et les remises fiscales
  • Expérience dans la gestion de voyages complexes, d'agendas chargés et de communications prioritaires
  • À l'aise avec les outils bureautiques courants; capacité d'adaptation rapide aux nouveaux systèmes

Rémunération et conditions de travail

  • Salaire : 80 000 $ – 90 000 $ annuellement, selon l'expérience

  • Poste en présentiel, cinq jours par semaine — du lundi au vendredi
  • Horaire flexible : environ 9 h ou 10 h à 16 h
