expanding, unveiling new gaming floors, a luxurious hotel, and specialized dining options. Position Overview: The Executive Assistant to the Chief Administration Officer is the operational extension of the
CAO. The role supports an active and complex portfolio that spans hotel construction,
restaurant builds, capital projects, maintenance, grounds, housekeeping, and human resources,
working daily with ownership, executives, consultants, contractors, vendors, and finance.
The job is straightforward in principle and demanding in practice: nothing slips, nothing stalls,
and nothing gets lost. We are looking for someone sharp, fast-moving, financially literate,
polished in person, and confident on the phone, who owns follow-through on action items,

● Playground Cares volunteer opportunities Responsibilities: Executive support ● Proactively manage the CAO's calendar, correspondence, follow-ups, and administrative
workflow.
● Prepare meeting agendas, take minutes, and own action item tracking through to
closure.
● Manage and prioritize email; draft, edit, and format correspondence, memos,
presentations, and other communications to executive-quality standards.
● Organize and maintain a structured filing system for contracts, drawings, change orders,
RFIs, and project records.
● Book and manage business travel, expenses, and event logistics.
Vendor and project coordination
● Support active capital projects across hotel construction, restaurant conversions, F&B
builds, HVAC and electrical works, parking, and security infrastructure.
● Drive outbound communication with bidders, contractors, vendors, and consultants,
chasing quotes, schedules, deliveries, and documentation through to closure.
● Coordinate site walks, distribute RFP and RFQ packages, collect bid submissions, and
liaise with general contractors, architects, and engineers on deliverables and timelines.
● Identify gaps, inconsistencies, or missing scope in bids before they reach the CAO.
● Maintain vendor records, certificates of insurance, contracts, and compliance documentation. Quote, cost, and invoice tracking ● Build and maintain quote trackers, bid comparisons, cost summaries, and project
budgets in Google Sheets, including formulas, pivot tables, and reconciliations.
● Track change orders, deposits, and progress invoicing through to completion.
● Coordinate with Finance on purchase order creation, invoice approvals, payment
tracking, and vendor onboarding.
● Reconcile project spend against approved budgets and flag variances early, not after the
fact. Personal assistance and office hospitality ● Schedule and manage personal appointments, errands, and personal travel for the CAO.
● Manage office supplies and ensure the CAO's workspace is well-stocked, organized, and
presentable.
● Book and coordinate business luncheons, meeting catering, and executive meals.
● Host guests and vendors visiting the CAO's office: greet them warmly, offer coffee and
refreshments, and ensure a polished first impression.
● Manage mail, package deliveries, and a variety of personal support tasks including
placing orders, vehicle maintenance, and general errands. Requirements: ● Fully bilingual in French and English at a near-native level. Perfect written
communication in both languages is non-negotiable; you will draft executive-quality
correspondence on the CAO's behalf in either language.
● Post-secondary degree or an equivalent combination of formal training and experience;
background in business administration, finance, project management, hospitality, or
construction administration is a strong asset.
● Minimum 3 years of experience supporting senior executives, ideally within
construction, hospitality, real estate development, or a similarly project-heavy
environment.
● Advanced proficiency in Google Workspace (Google Docs, Google Sheets, Google Slides,
and Gmail), with strong Sheets skills including formulas, pivot tables, and basic financial
modeling.
● Comfortable using AI tools, particularly Google Gemini within Workspace, to draft,
summarize, research, and accelerate administrative output.
● Polished, professional in-person presence; comfortable hosting guests and representing
the CAO's office.
● Flexible schedule, primarily Monday to Friday, with occasional earlier start times, longer
days, and weekend support when operationally required.
● Willingness and ability to successfully pass a security and criminal background record

unafraid to push for answers from senior vendors, contractors, or internal stakeholders
until tasks are closed out.
● Trustworthy - impeccable discretion, tact, integrity, and judgment, particularly with
confidential and sensitive matters.
● A problem-solver - analytical, proactive, and able to anticipate issues before they reach
the CAO's desk. What success looks like: ● Vendors respond faster because you stay on them with consistency and clarity.
● Quotes, costs, and commitments are always visible and up to date.
● Projects move forward without unnecessary friction or delay.
● The CAO is making decisions, not chasing information.
● Nothing falls through the cracks. A note on fit: This is a hands-on, fast-moving role that requires ownership, judgment, and follow-through. If
you are looking for a purely administrative position, it will not be the right fit. If you want direct
exposure to capital projects, executive decisions, and real accountability, you will grow quickly
in this seat.

Le poste soutient un portefeuille actif et complexe comprenant la construction hôtelière, les projets de restauration, les projets d’immobilisations, la maintenance, l’entretien des terrains, l’entretien ménager et les ressources humaines, en collaboration quotidienne avec les propriétaires, les dirigeants, les consultants, les entrepreneurs, les fournisseurs et l’équipe des finances.
Le rôle est simple en théorie, mais exigeant en pratique : rien ne doit être oublié, retardé ou perdu. Nous recherchons une personne vive d’esprit, rapide d’exécution, à l’aise avec les chiffres, professionnelle en personne et confiante au téléphone, capable d’assurer le suivi des actions, de gérer les soumissions et les coûts, de coordonner les appels d’offres et de maintenir plusieurs projets en parallèle sur la bonne voie.

Responsabilités
Soutien exécutif
- Gérer de façon proactive l’agenda, la correspondance, les suivis et le flux administratif du CAO.
- Préparer les ordres du jour des réunions, rédiger les procès-verbaux et assurer le suivi des actions jusqu’à leur clôture.
- Gérer et prioriser les courriels; rédiger, réviser et mettre en forme la correspondance, les mémos, les présentations et autres communications selon des standards exécutifs.
- Organiser et maintenir un système de classement structuré pour les contrats, plans, ordres de changement, demandes d’information (RFI) et dossiers de projets.
- Réserver et coordonner les voyages d’affaires, les dépenses et la logistique des événements.
Coordination des fournisseurs et des projets
- Soutenir les projets d’immobilisations actifs liés à la construction hôtelière, aux conversions de restaurants, aux projets de restauration et boissons, aux systèmes CVAC et électriques, au stationnement et aux infrastructures de sécurité.
- Assurer les communications sortantes avec les soumissionnaires, entrepreneurs, fournisseurs et consultants, en effectuant les suivis nécessaires concernant les soumissions, échéanciers, livraisons et documents jusqu’à leur finalisation.
- Coordonner les visites de chantier, distribuer les appels d’offres (RFP/RFQ), recueillir les soumissions et assurer la liaison avec les entrepreneurs généraux, architectes et ingénieurs concernant les livrables et échéanciers.
- Identifier les lacunes, incohérences ou éléments manquants dans les soumissions avant qu’elles ne soient présentées au CAO.
- Maintenir à jour les dossiers fournisseurs, certificats d’assurance, contrats et documents de conformité.
Suivi des soumissions, coûts et factures
- Créer et maintenir des tableaux de suivi des soumissions, comparatifs d’offres, résumés de coûts et budgets de projets dans Google Sheets, incluant des formules, tableaux croisés dynamiques et conciliations.
- Assurer le suivi des ordres de changement, dépôts et facturations progressives jusqu’à la complétion des projets.
- Collaborer avec les finances pour la création des bons de commande, l’approbation des factures, le suivi des paiements et l’intégration des fournisseurs.
- Comparer les dépenses des projets aux budgets approuvés et signaler rapidement les écarts.
Assistance personnelle et accueil au bureau
- Planifier et gérer les rendez-vous personnels, courses et voyages personnels du CAO.
- Gérer les fournitures de bureau et veiller à ce que l’espace de travail du CAO soit bien approvisionné, organisé et présentable.
- Réserver et coordonner les repas d’affaires, services traiteur et repas exécutifs.
- Accueillir les invités et fournisseurs visitant le bureau du CAO : les recevoir chaleureusement, offrir café et rafraîchissements, et assurer une première impression professionnelle.
- Gérer le courrier, les livraisons et diverses tâches de soutien personnel, notamment les commandes, l’entretien des véhicules et les courses générales.
Exigences
- Bilinguisme complet français/anglais de niveau quasi natif. Une communication écrite irréprochable dans les deux langues est essentielle; vous rédigerez des communications exécutives au nom du CAO dans les deux langues.
- Diplôme d’études postsecondaires ou combinaison équivalente de formation et d’expérience; une formation en administration des affaires, finances, gestion de projets, hôtellerie ou administration de la construction constitue un atout important.
- Minimum de 3 ans d’expérience auprès de cadres supérieurs, idéalement dans les secteurs de la construction, de l’hôtellerie, du développement immobilier ou un environnement fortement axé sur les projets.
- Maîtrise avancée de Google Workspace (Google Docs, Google Sheets, Google Slides et Gmail), avec de solides compétences dans Sheets incluant les formules, tableaux croisés dynamiques et la modélisation financière de base.
- Aisance avec les outils d’IA, particulièrement Google Gemini dans Workspace, afin de rédiger, résumer, effectuer des recherches et accélérer la production administrative.
- Présentation professionnelle et soignée; capacité à accueillir des invités et à représenter le bureau du CAO.
- Horaire flexible, principalement du lundi au vendredi, avec des débuts de journée plus tôt, des journées prolongées et un soutien occasionnel les fins de semaine selon les besoins opérationnels.
- Capacité et volonté de réussir une vérification de sécurité et des antécédents judiciaires.

- À l’aise avec les chiffres — Possède un bon instinct numérique et repère les erreurs ou incohérences que d’autres manquent.
- Communicatrice affirmée — À l’aise au téléphone, persévérante dans les suivis et capable d’obtenir des réponses des fournisseurs, entrepreneurs ou intervenants internes jusqu’à la conclusion des dossiers.
- Fiable — Fait preuve d’une discrétion, d’un tact, d’une intégrité et d’un jugement irréprochables, particulièrement dans les dossiers confidentiels.
- Résolveuse de problèmes — Analytique, proactive et capable d’anticiper les enjeux avant qu’ils n’atteignent le bureau du CAO.

Il s’agit d’un poste concret et dynamique qui exige de l’autonomie, du jugement et un excellent sens du suivi. Si vous recherchez un rôle purement administratif, ce poste ne sera probablement pas le bon choix. Si vous souhaitez être exposée directement aux projets d’immobilisations, aux décisions exécutives et à de réelles responsabilités, vous évoluerez rapidement dans ce rôle.
