Position profile:

Reporting to the Director of Finance, the Financial Administration Coordinator is responsible for managing the financial operations of the art gallery. This role involves completing financial transactions, maintaining accurate records, preparing financial reports, and ensuring compliance with relevant accounting standards and regulations. The Accountant plays a crucial role in maintaining the gallery's financial health and supporting its overall operations.

Key Responsibilities:

Management:

  • Act as a liaison between Finance and Business Administration departments.

Financial Record Keeping and Transactions:

  • Record and process financial transactions.
  • Maintain accurate and up-to-date financial records.
  • Monitor ongoing payment arrangements, accounts payable, and timely deadlines to vendors monthly.
  • Complete administrative tasks such as bank deposits, counts, and other administration responsibilities.

Financial Reporting:

  • Prepare regular financial reports.
  • Analyze financial data to provide insights and recommendations.
  • Complete budgets, cashflows and reports for grants, special projects and initiatives.
  • Post and reconcile timesheets and payroll bi-weekly.

Budgeting and Forecasting:

  • Assist in the development and monitoring of the gallery's budget.
  • Prepare financial forecasts and projections to aid in strategic decision-making.

Accounts Receivable and Payable:

  • Manage accounts receivable.
  • Process accounts payable.

Tax Compliance:

  • Prepare and file tax returns.
  • Ensure compliance with tax regulations and reporting requirements.

Financial Audits:

  • Collaborate with external auditors during financial audits.

Financial Controls:

  • Implement and maintain internal controls to safeguard the gallery's assets and ensure accuracy of financial records.

Financial Analysis:

  • Conduct financial analysis to identify trends, patterns, and opportunities for cost savings or revenue enhancement.
  • Assist in evaluating the financial viability of new projects or initiatives.

Financial Policies and Procedures:

  • Develop and maintain financial policies and procedures that align with industry best practices and regulatory requirements.

Payroll Management:

  • Process payroll accurately and in a timely manner, ensuring compliance with payroll tax regulations.

Banking and Cash Management:

  • Manage bank accounts, reconcile bank statements, and monitor cash flow.
  • Initiate and track wire transfers, deposits, and withdrawals as needed.

Qualifications:

  • Bachelor's degree in Business, Accounting, Finance, Math, or a related field .
  • Proven experience in any of the financial related field.
  • Experience with management, art gallery, museum, or cultural institution is encouraged
  • Proficiency in accounting software (Quickbooks online) and financial management tools, as well as Salesforce , Excel and other Office 365 .
  • Strong understanding of accounting principles, financial reporting, and taxation.
  • Detail-oriented with excellent organizational and analytical skills.
  • Knowledge of GAAP (Generally Accepted Accounting Principles) and relevant financial regulations.
  • Ability to maintain confidentiality and handle sensitive financial information.
  • Effective communication and teamwork skills.
  • Ability to work independently and meet deadlines.
  • Fluency in English ( French is an asset).
  • Valid Criminal Record Check, upon request.

Profil du poste :

En tant que coordinateur de l'administration financière, vous superviserez les activités financières quotidiennes d'une entreprise sous la direction du directeur des finances. Le candidat idéal doit être capable de résoudre des problèmes et de faire preuve d'innovation. En tant que membre de l'équipe financière, le candidat retenu participera à la planification des objectifs financiers à long terme de l'organisation et à la préparation des rapports financiers nécessaires.

Responsabilités principales :

  • Assurer la liaison entre les départements des finances et de l'administration des entreprises.
  • Contrôler les accords de paiement en cours, les comptes créditeurs et les échéances mensuelles des fournisseurs.
  • Assurer le suivi des comptes débiteurs et le rapprochement mensuel pour l'organisation.
  • Émettre et comptabiliser les chèques.
  • Passer des écritures de journal régulières et effectuer des rapprochements bancaires et de cartes de crédit tous les mois.
  • Produire des rapports et des analyses pour l'examen financier interne.
  • Effectuer des tâches administratives telles que les dépôts bancaires, les décomptes et d'autres responsabilités administratives.
  • Enregistrer et rapprocher les feuilles de temps et les salaires toutes les deux semaines.
  • Surveiller la boîte de réception des finances et y répondre en conséquence.
  • Assister le directeur des finances dans ses tâches quotidiennes, selon les besoins.
  • Participer à d'autres tâches de gestion des employés, selon les besoins.
  • Assurer le suivi des plates-formes commerciales en ligne pour l'entreprise, selon les besoins.

· Les qualifications :

  • Expérience d'Excel et des outils de reporting.
  • Expérience des logiciels ERP (et POS) tels que Sage, QuickBooks, Salesforce, Simply Accounting, etc.
  • Connaissance des règles et des normes en matière de rapports sur les comptes clients et les comptes fournisseurs.
  • Expérience des systèmes de comptage et de suivi des stocks.
  • Expérience du traitement des factures de vente et des dépôts.
  • Expérience de la gestion des tâches administratives et des employés.
  • Vérification du casier judiciaire en cours de validité, sur demande.
