Executive Assistant

GCI Advisors

Executive Support
  • Manage and optimize the Founder’s calendar, appointments, meetings, and travel arrangements.
  • Coordinate internal and external meetings, including agenda preparation, meeting materials, and follow-up action items.
  • Screen and prioritize emails, phone calls, and correspondence.
  • Assist with inbox management and ensure timely responses to clients and stakeholders.
  • Prepare reports, presentations, proposals, and professional correspondence.
  • Client & Relationship Management
    • Serve as a primary point of contact for clients and business partners.
    • Coordinate client onboarding, document collection, and engagement workflows.
    • Maintain accurate client records and communication logs.
    • Ensure exceptional client service and timely follow-up on requests.
    Operations & Administrative Support
    • Support day-to-day firm operations and special projects.
    • Maintain filing systems, databases, and CRM records.
    • Assist with document management, electronic signatures, and workflow tracking.
    • Coordinate events, webinars, networking activities, and client appreciation initiatives.
    • Help implement and improve administrative processes and efficiencies.
    Project Coordination
    • Track key initiatives and ensure deadlines are met.
    • Coordinate with team members on projects, deliverables, and client engagements.
    • Prepare status updates and progress reports for leadership.
    • Support strategic initiatives and business development activities.
    Confidentiality & Professionalism
    • Handle sensitive financial, tax, client, and business information with the highest level of confidentiality.
    • Exercise sound judgment and discretion in all interactions.
