We're hiring a Digital Project Manager/Coordinator who will work under a Director to manage our 35+ monthly projects across our social media , website design and development , email marketing , content creation , and advertising services , while working alongside our Customer Experience Manager, managing projects on the Customer Service & Fulfillment side of our business to deliver our “ Full Circle Approach to Digital Marketing ” to our clients.

Founded in 2015, we are a 20+ person, Shopify Expert digital marketing agency based in Toronto, with team members across Canada, that does everything related to digital marketing including, but not limited to; paid and organic social media , email marketing and automation , website design & development , influencer marketing , branding and design , customer service , and fulfillment for clients across the world in industry verticals ranging from skin care, restaurants, home decor, CPGs, vapes, food & drinks, baby products, celebrities, entertainment, real estate, accounting, and we even have a celebrity client .

Some of our clients have been featured in Vogue , Cosmopolitan , Forbes , Business Insider , GOOP , and are sold in major retail chains like Walmart , Target , Loblaws , and Nordstrom and we even have a client who hosted the White House Correspondents Dinner!

Work with us and you would be responsible for:

• Risk Management - proactively identify project risks and escalate to management team with proposed resolution paths and timelines
• Change Management - generate clear change documentation for both client and internal management to ensure projects that have exceeded defined budgets, timelines, or scope, can be completed for the best outcome
• Creating & Managing Projects - creating projects from scratch or via templates and ensuring they and their corresponding to-dos, budgets, scope information, resources, and assignments are accurate and up-to-date to ensure high-quality deliverables are sent on, or before deadlines to reach specified project KPIs
• Client Onboarding - taking the appropriate steps in collecting and filing client information, providing clients contracts for signature in a timely manner, setting up file folder and other organizational infrastructure, coordinating deposit invoices and confirming payment, and ensuring success through a seamless onboarding experience for both our clients and team members
• Utilization Management - responsible for utilization management by ensuring each team member (excluding our customer service team) is fully utilized within their skillset and team vertical, or alerting management when utilization drops below provided KPIs.
• Budget Management - keeping a close eye on all marketing project budgets and jumping in to resolve overages before they happen by identifying scope creep, providing clear task lists to team members, strategizing with team leads on strategic solutions, or flagging to D/C-suite to come to a resolution to save project profitability
• Invoice Support and Oversight - preparing invoices for the finance team to send, following up with the finance team to ensure payment has been received, coordinating with the finance team on unpaid invoices, ensuring payment status is updating in our project management system, and flagging unpaid invoices to the finance team to be handled
• Time Tracking Management - m onitoring and ensuring all team members are accurately tracking their time in order to ensure resource utilization and profitability data is accurate and meeting KPIs
• Process Oversight - ensuring internal processes are followed or amended strategically to improve efficiency, profitability and productivity amongst team members
• Profitability Oversight & Reporting - ensuring the marketing team is hitting profitability KPIs through budget management, resource utilization, and strategic thinking, and reporting on profitability monthly to the D/C-suite
• Managing Project Templates - keeping project management templates are accurate in order to ensure client work stays within client budgets, or flagging and strategically recommending improvements to templates in order to stay within said budgets

To work with us you should:

• Be obsessed with lists and organization! (If you don't run your life through task lists, this job probably isn't for you!)
• Have at least 2 years of project coordinator experience using PM software, handling utilization resourcing, and managing budgets
• PMP certificate a HUGE bonus
• Have at least 1 year of experience working in a digital marketing setting (agency side is a bonus)
• Have a solid base understanding of what each of our service verticals offer and how they work
• Be able to thrive in a fast-paced work environment - things change fast and you have to be able to keep up!
• Have exceptional reading, writing, and comprehension skills
• Be able to take abstract ideas and random requests and distill them into actionable tasks and tasks lists that make logical sense within a specified budget
• Be able to thrive and focus in a work-from-home setting
