The Ubuntu CSD (Collaborative Service Delivery) Program is an innovative approach to child and family support which leverages a network of partner agencies and Children's Services to create customized support for children, youth, and families in Northeast Edmonton. Ubuntu offers a continuum of culturally aligned, community-based, family and child centered services. Collectively, with Boyle Street as the lead agency, Ubuntu is one point of access to a streamlined set of services that leverages the expertise of five networks to meet the needs of our families, children, and youth. Entitled the C5 (Collaborative Five) - Ubuntu works collaboratively with Boyle Street Community Services, Bent Arrow Traditional Healing Society, Edmonton Mennonite Centre for Newcomers, Norwood Child and Family Resource Centre, and Terra Centre for Teen Parents.
This position is based out of the Ubuntu office in Northeast Edmonton - 14023 Victoria Trail.
JOB PURPOSE:
The Senior Administrator is responsible for managing and maintaining all administrative functions for the Ubuntu program, including but not limited to: personnel file management, staff training, development and orientation, policy development, building operations, and monitoring and planning program budget and finances. The Senior Administrator is responsible for leading the Ubuntu Administrative Team to ensure that staff and community members work in a safe and organizationally effective environment. The Senior Administrator works closely with the Director of Ubuntu, Ubuntu Senior Manager, Ubuntu Management team, Clareview Children Services (CS) Administration team, and Boyle Street internal departments.
KEY AREAS OF RESPONSIBILITIES:
- Manage the development, implementation, management, review, and storage of organizational policies and procedures, including accreditation standards, legislative standards, occupational health and safety requirements, and human resources processes
- Ensure efficiency relating to administrative practices and procedures
- Support and supervision of the Ubuntu Administrative Team
- Manage and maintain all staff files for the Ubuntu Program, ensuring staff trainings and program requirements are kept up to date, achieved within required timelines, and reviewed regularly
- Manage internal processes and reporting, including Intake, Invoices, Monthly Regional Reports, Client File Management, Disclosures
- Collaborate with internal BSCS Departments, including Centre for Supports, Operations, Maintenance, Finance, Payroll
- Facilitate relationships with contractors and manage contracts
QUALIFICATIONS:
Experience:
- Minimum 3 years of experience working in a professional administrative role is required, and at least 2 years of experience working at a senior administrative level is preferred
- Post-secondary education or certification in Business, Human Resources, Office Administration, Policy Development, or other related fields are an asset
- Knowledge of and experience working in the non-profit sector, and/or with community resources is an advantage
- Knowledge and experience of First Nations, Inuit, and Métis culture is an advantage
- Valid driver's license and reliable vehicle is preferred
- Criminal Record Check (including Vulnerable Sector Scan), Child Intervention Record Check, and Drivers Abstract completed within 6 months is required by start date (Note: Processing times may take several weeks to complete these checks)
