A well-established and growing financial services company based in Woodbridge is seeking a professional, organized, and personable Receptionist to join our team.

About the Role:

This individual will serve as the first point of contact for visitors, clients, and vendors while supporting day-to-day administrative operations in a professional office environment. We are looking for someone who takes pride in creating a welcoming experience, enjoys interacting with people, and thrives in a fast-paced office setting.

Responsibilities:

  • Maintain a high level of professionalism, discretion, and confidentiality when handling sensitive information and interacting with clients.
  • Maintain & manage office supplies and coordinate vendor and service requests.
  • Support general office operations and administrative projects as required.
  • Answer and direct incoming phone calls and emails.
  • Maintain the front desk and reception area to a high professional standard.
  • Sort through daily incoming and outgoing mail, courier deliveries, and office shipments.
  • Assist with scheduling meetings, workshops and employee events.
  • Greet and assist clients and vendors in a professional and welcoming manner.
  • Set up meeting rooms for internal and external meetings.
  • Assist with office administration and clerical tasks.

Qualifications:

  • Previous experience in a receptionist, administrative, or front desk role is preferred
  • Highly organized with strong attention to detail is a must
  • Proficient in Microsoft Office, including Outlook, Word, Teams and Excel
  • Exceptional customer service and telephone etiquette
  • Professional presentation and interpersonal skills
  • Candidate must have strong verbal and written communication skills
  • Ability to multitask and prioritize effectively in a busy office environment
  • Experience within financial services, real estate, or a corporate office environment is considered an asset
