Role Description

The Front Desk Reception & Client Experience Coordinator is a part-time, on-site role based in Prince George, BC. This role is responsible for greeting clients, managing check-in and check-out processes, and ensuring a positive experience from arrival to departure. Daily tasks include answering phone calls, responding to inquiries, booking and confirming appointments, and maintaining an organized reception area. The Coordinator will handle client records, process payments, and support staff with scheduling and administrative tasks. This position also involves providing clear information about services, respecting client confidentiality, and assisting in maintaining a clean, professional, and friendly clinic environment.

Qualifications

• Client service and communication skills, including a professional, welcoming demeanor and the ability to handle client concerns with empathy and discretion.
• Administrative and organizational skills, such as appointment scheduling, basic data entry, handling payments, and maintaining accurate records.
• Front desk and office coordination skills, including managing phone and email inquiries, coordinating calendars, and keeping the reception area orderly.
• Attention to detail and time management skills to prioritize tasks, follow clinic protocols, and support efficient daily operations.
• Comfort working in a health, wellness, or clinical environment, with an understanding of privacy and confidentiality standards.
• Basic computer proficiency with scheduling software, email, and office applications; willingness to learn clinic-specific systems.
• Comfortable discussing services, treatment plans, memberships, and promotions.
• Ability to stand, move between treatment rooms and reception, and support a fast-paced environment as needed.
• Previous experience in reception, hospitality, or customer service is an asset; experience in aesthetics, spa, or medical office settings is beneficial.
