Reporting to the Manager of Bids, the Bid Coordinator, working with the Bid Lead, is responsible for preparing proposals on behalf of the Nuclear Canada Business Unit. In this capacity, the Bid Coordinator is responsible for the proposal development lifecycle; coordinating and producing proposals in response to a client inquiry (Request for Proposals, Expressions of Interest, Tenders, Budgetary Estimates, Qualifications, etc.) while assembling a proposal team with the relevant service, product and business knowledge required to win.

Responsibilities include the implementation of proposal procedures and processes, ensuring complete, accurate and quality proposals are prepared on time and on budget.

This is a highly networked role that requires an ability to work under pressure and to challenging deadlines.

Your role within the team:

• Implementation of the proposal process through coordination of multiple stakeholders to deliver high-quality, bid and strategy compliant, winning and approvable bids on time. Stakeholders consist of senior leadership team, technical, project management, commercial, legal and other personnel resources as required.
• Collaborating with Account Managers to determine strategic approach including persuasive content.
• Facilitating proposal kickoff meetings and regular status calls.
• Creating the proposal outline and obtains scope descriptions, estimates and other inputs as required from the appropriate delivery groups to create a compliant and competitive proposal.
• Generating cover letters, executive summaries, and other key (non-technical) parts of proposals.
• Coordinating pricing build ups for all proposals.
• Maintaining proposals database with accurate and timely updates (e.g. Start Date, Price, Go/Get information, etc.).
• Adhering to all Corporate Policies and Procedures including Compliance, Risk and Levels of Authority.
• Facilitating proposal reviews, including Pink, Green, Red and Gold Team reviews.
• Leading the Purchase Order acceptance process and reviews Purchase Orders for accuracy and agreement with proposals.
• Anticipates and mitigates potential delays to proposal submission, ultimately ensuring on-time delivery of the proposal.
• Enforcing approved style guidelines and ensures a consistent look and feel of all outgoing proposals.
• Working to create and improve best practices that ensure the RFP process is successful and efficient.

The ideal candidate:

• Combination of post-secondary education with relevant work experience, minimum of 3 years-experience.
• Association for Proposal Management Professional (APMP) Foundation level certification is an asset.
• Advanced user in Microsoft Office Suite (Word, Excel, PowerPoint, and Access) and Adobe Creative Suite including In Design (Photoshop and Illustrator a plus), technology savvy.
• Knowledge of commercial, contractual, and execution models and risks is an asset.
