Your Opportunity:

Reporting to the Dean and working closely with the Senior Leadership Team, the Assistant Dean, Registrarial and Student Services (ADRSS) provides leadership and strategic direction for the Registrar’s Office and the Student Services team.

An important expectation for the ADRSS will be the integration of Equity, Diversity, and Inclusion (EDI) perspectives through the registrarial and student services operations, including the facilitation of the successful recruitment, retention and transition of students who have joined the FIFSW population through initiatives like a recent increase in outreach to international students, the Black Student Application Program, and the Indigenous Students Application Program. The ADRSS will play a critical role in overseeing the rollout and administration of these initiatives.

As one of the Faculty’s valued managers, the ADRSS regularly meets and works closely with the Dean and other leaders to achieve the Faculty’s strategic plans and academic mission. The ADRSS ensures that the Senior Leadership Team has an accurate picture of the student population and needs, provides expert insight on University and Faculty policies and guidelines related to registrarial and student service matters, represents the FIFSW on various Faculty and University committees, and interacts with graduate student societies on behalf of the FIFSW. The ADRSS is responsible for short- and long-term strategic planning of student services, ensuring they meet the requirements of the Faculty’s graduate student population, and the strategic goals articulated in the Faculty’s Academic Plan. The ADRSS directs all aspects of delivery of services to potential and registered students. The ADRSS provides oversight, senior-level advice, and improvements to student recruitment and marketing, tuition fee levels, student funding, enrollment, admissions, financial aid, scholarships, bursaries, awards, program delivery, Faculty calendar, Faculty program timetables, academic appeals and petitions, student success, counselling, the coordinated delivery of advice and counselling, academic scheduling, statistics, records and data analysis, examinations, convocation services, careers and placement services, reporting, and all other registrarial matters. The ADRSS is also the Deputy FIPPA Officer for FIFSW.

Working alongside the Senior Leadership Team, the ADRSS leads the strategic recruitment and enrollment planning effort by reviewing the current Academic Plan and the changing environment – analyzing educational trends provincially, nationally, and internationally – to determine long-term enrollment and fiscal health, to make recommendations on the academic and administrative complement, and to develop a strategic plan of action. The ADRSS ensures that the plan of action is data-informed and they continually identify, evaluate, and modify strategies and enrollment goals in light of internal and external forces that may influence the direction of the Faculty.

The ADRSS is also responsible for creating and continuously improving a culture of customer service excellence for students and collaborates with faculty and staff to ensure seamless services to students. The ADRSS is responsible for resource management of the Registrar’s Office and the Student Services team: human resources, labour relations, technology, and finances Functions related to human resources include organizational design, assignment of work, hiring, onboarding and offboarding for controlled access, performance management, professional development, dispute resolution, and business continuity planning for work disruptions or stoppages. Functions related to technology include strategizing, training and adapting to new and updated technological rollouts and tools related to registrarial functions and systems, including website, social media platforms, SharePoint site, the University’s on-line teaching and learning environment, institutional systems that support the management of student academic records, accounts, awards, admissions processes, etc. Functions related to finances include managing and reporting on budgets and awards, reviewing and approving student payments and staff expenditures, ensuring financial guidelines and procedures are followed, initiating cost containment measures when needed.

Essential Qualifications:

EDUCATION: University degree required; graduate degree preferred.

EXPERIENCE: Seven (7) years' progressive strategic experience related to the provision of superlative student and registrarial services. Strong understanding and knowledge of the higher education landscape and ability to translate this knowledge into solid marketing programs. Direct experience developing, implementing, and continually evaluating registrarial and student services, financial aid, and academic advisory services; demonstrated ability to work with students and graduates who are pursuing diverse career paths. Solid experience in overseeing the development and implementation of career development workshops and in counselling students; familiarity with the University of Toronto community, its policies and procedures is a definite asset; management and/or supervisory experience.

SKILLS: Efficient and sophisticated data collection and analysis skills; superior communication and customer service skills; excellent reporting skills; high level of proficiency with student information system software (Repository of Student Information - ROSI); highly computer literate with sound working knowledge of PC platforms and Internet usage; and proven public speaking skills.

OTHER: Proven problem-solving and facilitation skills in resolution of issues related to student enrolment and retention; excellent organizational skills; highly motivated with proven leadership and mentoring skills; tact and diplomacy; and proven professionalism relating to working collaboratively at all levels of faculty, staff, and students. Knowledge of University of Toronto governance and registrarial policies, procedures, and systems is an asset.
