Job Summary:
Nodin Mental Health Services, a department of the Sioux Lookout First Nations Health Authority (SLFNHA), supports the mental health and well-being of First Nation individuals and communities. Nodin provides a wide range of services for children, youth, adults, and families, including Intake and Assessment service, a Social Emergency Response program, an Outpatient Mental Health service, School-based counselling, Outreach Services and Mobile outreach.
The Intake and Assessment Service at Nodin serves as the central access point for all referrals and self-referrals. Team members have distinct roles, including reviewing referrals, completing assessments, gathering key information, and matching clients with the most appropriate Nodin service. They also coordinate NIHB travel arrangements.
The Intake Worker is the first point of contact for individuals, families, and referring organizations seeking mental health services. This non-clinical role includes informing referral sources and self-referrals about Nodin’s available services, receiving and reviewing referrals, and redirecting individuals to more appropriate resources when needed. For accepted referrals, the Intake Worker ensures demographic information is accurate and complete, follows up to gather any missing background information, and works with clinical staff to assess service eligibility and develop a care plan. They also coordinate with Clinical Intake/Assessment Counsellors to schedule a formal intake assessment. A large part of the role involves coordinating travel arrangements through Non-Insured Health Benefits (NIHB) to ensure clients can access care.
While the role does not involve clinical assessments or require professional registration, it is essential in supporting timely, respectful, and coordinated access to care.
The Admin II - Intake Worker reports to the Manager – Clinical, Intake.

Qualifications
- Completion of a diploma program in a related field is required (e.g., social services, mental health and addictions, community health, health or office administration, or a similar human services program)
- A degree in a related field (e.g., social work, psychology) is considered an asset
- Previous experience working in a mental health intake or service navigation/travel role is preferred
- Experience as a mental health counsellor or in a frontline community-based mental health position is an asset
- Minimum two years of experience in a related role, preferably in Indigenous contexts
- Knowledge of mental health service systems and referral pathways, including local, regional, and virtual supports
- Familiarity with Indigenous ways of knowing and healing; understanding of historical and intergenerational trauma, colonization, and their impact on mental health
- Demonstrated cultural humility and ability to build trust and rapport with clients/partners/staff from diverse backgrounds, especially First Nations communities
- Excellent communication skills — both oral and written — to effectively liaise with clients, families, communities, and health service providers
- Strong administrative skills, including accurate data entry, client file management, appointment coordination, and use of EMR systems etc.
- Proven ability to manage competing priorities in a fast-paced environment with attention to detail and timelines
- Experience with NIHB, travel related to Jordan’s Principle, or similar client supports is an asset
- Ability to work independently and as part of an interdisciplinary team
- Proficient in Microsoft Office and virtual communication tools (e.g., Teams)
- Understanding of privacy legislation (e.g., PHIPA, PIPEDA) and ethical handling of personal health information
- Fluency in a First Nations dialect from the Sioux Lookout region is a strong asset
- Ability to perform the requirements of the position on a regular basis
Roles & Responsibilities
- Receive and respond promptly to internal and external referrals via phone, fax, or in person
- Explain all of Nodin’s different service areas to referral sources and self-referrals to ensure clear understanding of available supports
- Connect with referral sources to gather client background information and understand their needs
- Follow up with referral sources or individuals to obtain missing, incomplete, or additional information necessary for intake processing
- Collect and document client demographic, personal, and service-related information accurately, maintaining confidentiality
- Validate all incoming referrals, ensuring client data is current and complete
- Collaborate closely with clinical staff to determine service eligibility and redirect referrals when services are unavailable or outside program scope
- Facilitate the transfer of clients to appropriate service providers based on clinical staff direction
- Create and maintain client records within the electronic medical records (EMR) system, including updating client-related notes and client face sheets
- Ensure all documentation—both electronic and paper—is accurate, complete, and compliant with SLFNHA standards and privacy legislation
- Manage correspondence by faxing and mailing client letters and other communications as needed
- Coordinate client travel logistics, including issuing Non-Insured Health Benefits (NIHB) notices of appointment
- Confirm appointments and travel arrangements with clients, managing cancellations and rescheduling as required
- Ensure that referrals are appropriately signed off by authorized professional service providers for NIHB purposes
- Work collaboratively with Nursing Stations, clients, community travel clerks, Jordan’s Principle workers, and NIHB to facilitate smooth client travel and access to services
- Supporting Jordan’s Principle applications and directing clients to the appropriate Jordan’s Principle resources.
- Actively participate in multidisciplinary health team meetings and contribute to a team culture aligned with SLFNHA’s mission, vision, and values
- Maintain professionalism and confidentiality in all clients and team interactions
- Providing coverage for the Intake Support worker when required.
- Perform other duties as assigned by the Intake Manager or designate
