Job Responsibility:
ROLES AND RESPONSIBILITIES The Claims Administrative Assistant is responsible for assisting customers with cargo claims submissions and for supporting Claims Adjusters to adjudicate claims and prepare settlements. With proper telephone and email etiquette, they will clearly speak or write with customers, moving company agencies, drivers, repair firms and client representatives to investigate and resolve issues. The Assistant will research, prepare, and store documentation and reports, requiring a keen sense of organization and effective time management skills. This important position is essential for the team's success in delivering fair and timely settlements to our customers. ESSENTIAL FUNCTIONS AND RESPONSIBILITIES - Respond to customer inquiries (phone calls, email), set appointments, and direct calls appropriately
- Verify required information is obtained from customer, all accountable parties are identified
- Research contract paperwork, agreements, assessments, and customer information
- Trace missing items
- Ensure case communications and paperwork are systematically catalogued and filed
- Record accurate diary notes related to customer or supplier conversations, enter agency-settled claim information into system
- Prepare statistical and settlement reports and spreadsheets
- Work with Finance team on billing and payables matters
QUALIFICATIONS AND PREFERRED SKILLS - Minimum 1 to 3 years' experience in a customer service role in a corporate office setting
- Excellent written and verbal communication skills
- Proven experience with customer relations, customer service and problem-solving situations
- Process and results oriented; excellent organization skills
- Able to accurately interpret and apply policies
- Proficiency in MS Office applications (Word and Excel)
- Bilingual (English/French) language skills an asset
EDUCATION AND CERTIFICATION REQUIREMENTS - High School diploma required; however, College diploma/degree (secondary education) preferred

- Salary Range: $19.00-$22.00 CAD
Salary ranges may vary based on location, market conditions, and other factors such as experience and qualifications. The final compensation will be determined during the hiring process based on these considerations. For positions available outside Canada, salaries will take into account local currency and market conditions, which may differ from the CAD salary range. If you have any questions about salary or benefits, we encourage you to ask during the hiring process.
