About the Role

CPAWS National Office is seeking a National Executive Assistant and Governance Coordinator to support the National Executive Director (NED), the National Board of Trustees and organizational leadership. This is a key role within the organization, ensuring the NED's effectiveness by providing high-level administrative, governance, and coordination support.

The National Executive Assistant and Governance Coordinator plays a central role in coordinating national governance processes, including working closely with the National Board of Trustees and supporting collaboration with Chapter Executive Directors across the country. This role also leads logistics for national meetings and events (virtual and in-person) and acts as a key point of contact for senior stakeholders.

This position is ideal for a highly organized, proactive professional who thrives in a dynamic, national environment and is comfortable managing competing priorities with discretion and professionalism.

 

Responsibilities

1) Executive Support to the National Executive Director (25%)


  • Manage the NED’s calendar, including scheduling, prioritizing requests, and resolving conflicts

  • Monitor and triage incoming communications to identify priorities and ensure timely follow-up

  • Prepare and edit correspondence, briefing notes, reports, and presentations

  • Coordinate travel arrangements, itineraries, and expense tracking

  • Maintain organized filing systems (digital and physical)

  • Support preparation for meetings with the National Office leadership team, senior stakeholders, funders, and partners

  • Manage the NED’s budget

 

2) Governance & Board Coordination (35%)


  • Coordinate meetings of the National Board of Trustees and its committees, including:


  • Annual meeting calendar

  • Agenda development

  • Preparation and distribution of materials

  • Minute-taking and tracking action items


  • Support Annual General Meeting (AGM) planning and execution

  • Maintain Board governance records and ensure proper documentation and organization

  • Support onboarding and engagement of Board members

  • Act as a liaison between the NED, Board members, and senior leadership

 

3) National Meetings & Event Coordination (20%)


  • Lead logistics for national meetings and events (virtual and in-person), including:


  • Board meetings and retreats

  • Chapter Executive Directors and network meetings

  • Leadership and all-staff gatherings


  • Coordinate venues, travel, accommodations, catering, and technical requirements

  • Prepare agendas, materials, run-of-show documents

  • Record and distribute meeting minutes

  • Serve as primary logistics contact for participants

  • Manage events budgets

 

4) National Coordination & Communications (20%)


  • Manage the general phone line and email address and ensure all inquiries are handled in an efficient and accessible manner, and communications are prioritized and directed to appropriate personnel

 


  • Act as a central point of contact between the National Office, the Board of Trustees, and Chapter Executive Directors

  • Ensure smooth flow of information across a decentralized national network partnering with the National Office and Operations Manager

  • Support the coordination of cross-chapter meetings and working groups as necessary

  • Support National Office operations as necessary

Accountability and Authority

The National Executive Assistant and Governance Coordinator reports directly to the National Executive Director and works closely with the National Senior Leadership team, the National Office staff and the National Board of Trustees.

All staff are accountable through the staff structure to the National Executive Director for the planning and delivery of programs and services. The National Executive Director is responsible for staff management and the effectiveness of programs within priorities and budgets approved by the Board.

The National Executive Assistant and Governance Coordinator is expected to exercise sound judgement, maintain a high level of confidentiality, and operate with a high degree of autonomy in managing competing priorities.

 

Qualifications & Expectations

Essential Assets


  • 5+ years of experience supporting a senior executive or leadership team

  • Bilingual (English/French)

  • Demonstrated experience supporting Boards of Directors and governance processes

  • Experience coordinating meetings, events, and logistics with multiple stakeholders

  • Exceptional organizational skills with strong attention to detail and accuracy

  • Strong written and verbal communication skills

  • High level of discretion and professionalism in handling confidential information

  • Proficiency in Microsoft 365 (Outlook, Word, Excel, Teams) and virtual meeting platforms

  • Ability to manage competing priorities and adapt to changing deadlines and conditions

  • Collaborative, proactive, and service-oriented approach

  • Interest in or commitment to environmental conservation

 

Nice to Have


  • Experience in the non-profit or charitable sector

  • Experience supporting a national or multi-stakeholder organization

  • Education in administration, business, communications, or a related field

 

Working Conditions


  • Hybrid work environment based in Ottawa

  • Occasional travel will be required

  • Flexibility to work occasional evenings and weekends (e.g., Board meetings, events)

Le bureau national de la SNAP Canada recherche un(e) adjoint(e) de direction national(e) et coordinateur(trice) de la gouvernance pour soutenir la direction générale nationale (DGN), le conseil d’administration national et la direction de l’organisation. Il s’agit d’un poste clé au sein de l’organisation, qui vise à garantir l’efficacité de la DGN en lui apportant un soutien de haut niveau en matière d’administration, de gouvernance et de coordination.

L’adjoint(e) de direction national(e)
et coordinateur(trice) de la gouvernance joue un rôle central dans la coordination des processus de gouvernance nationale, notamment en travaillant en étroite collaboration avec le conseil d’administration national et en favorisant la collaboration avec les directions générales des sections régionales. Ce poste est également chargé de la logistique des réunions et événements nationaux (virtuels et en présentiel) et sert de point de contact privilégié pour les principales parties prenantes.

Ce poste est idéal pour un(e) professionnel(le) très organisé(e) et proactif(ve), qui s’épanouit dans un environnement national dynamique et qui est à l’aise pour gérer des priorités concurrentes avec discrétion et professionnalisme.

Responsabilités

1) Assistance à la direction générale nationale (25 %)


  • Gérer l’agenda de la DGN, notamment en planifiant les rendez-vous, en hiérarchisant les demandes et en résolvant les conflits

  • Surveiller et trier les communications entrantes afin d’identifier les priorités et d’assurer un suivi en temps opportun

  • Rédiger et réviser la correspondance, les notes d’information, les rapports et les présentations

  • Coordonner l’organisation des déplacements, les itinéraires et le suivi des dépenses

  • Gérer des systèmes de classement (numériques et physiques)

  • Apporter son soutien à la préparation des réunions avec l’équipe de direction du bureau national, les principales parties prenantes, les bailleurs de fonds et les partenaires

  • Gérer le budget de la DGN

 

2) Gouvernance et coordination du conseil d’administration (35 %)


  • Coordonner les réunions du conseil d’administration national et de ses comités, notamment :


  • Calendriers annuels des réunions

  • Élaboration de l’ordre du jour

  • Préparation et diffusion des documents

  • Rédaction des procès-verbaux et suivi des actions.


  • Soutenir la planification et le déroulement de l’Assemblée générale annuelle (AGA)

  • Tenir des registres de gouvernance du conseil d’administration et garantir une documentation et une organisation adéquates

  • Soutenir l'intégration et l'engagement des membres du conseil d'administration

  • Assurer la liaison entre la DGN, les membres du conseil d'administration et la direction nationale.

 

3) Coordination des réunions et événements nationaux (20 %)


  • Gérer la logistique des réunions et événements nationaux (virtuels et en présentiel), notamment :


  • Les réunions et retraites du conseil d’administration

  • Les réunions des directions générales des sections régionales et les réunions du réseau de la SNAP Canada

  • Les réunions de la direction nationale et les rassemblements de l'ensemble du personnel


  • Assurer la réservation des lieux de réunion, l’organisation des déplacements et la coordination de l’hébergement, de la restauration et des besoins techniques.

  • Préparer les ordres du jour, les documents de travail et les plans de déroulement

  • Rédiger et diffuser les procès-verbaux des réunions

  • Servir de point de contact principal pour les questions logistiques des participants

  • Gérer les budgets des événements

 

4) Coordination nationale et communication (20 %)


  • Gérer la ligne téléphonique générale ainsi qu’une adresse électronique générale et veiller à ce que toutes les demandes reçues soient traitées de manière efficace et accessible, et à ce que les communications soient hiérarchisées et transmises au personnel compétent.

 


  • Servir de point de contact central entre le bureau national, le conseil d’administration et les directions générales des sections régionales

  • Assurer une circulation fluide de l’information au sein d’un réseau national décentralisé, en coordination avec le gestionnaire du bureau national et des opérations 

  • Soutenir la coordination des réunions inter-sections régionales et des groupes de travail selon les besoins

  • Soutenir les opérations du bureau national selon les besoins

Responsabilités et autorité

L’adjoint(e) de direction national(e) et coordinateur(trice) de la gouvernance rend compte directement à la DGN et travaille en étroite collaboration avec l’équipe de direction nationale, le personnel du bureau national et le conseil d’administration national.

L’ensemble du personnel rend compte, par la hiérarchie, à la DGN concernant la planification et de la mise en œuvre des programmes et des services. La DGN est responsable de la gestion du personnel et de l’efficacité des programmes dans le respect des priorités et des budgets approuvés par le conseil d’administration.

L’adjoint(e) de direction national(e) et coordinateur(trice) de la gouvernance doit faire preuve de bon sens, respecter une confidentialité absolue et agir avec un haut degré d’autonomie pour gérer des priorités concurrentes.
