About the Role
CPAWS National Office is seeking a National Executive Assistant & Board Secretary to support the National Executive Director (NED) and the National Board of Trustees.
The National Executive Assistant & Board Secretary is a key position at CPAWS providing administrative and strategic support to the National Executive Director, including managing calendars, sorting and prioritizing correspondence, organizing meeting logistics, supporting administrative financial processes, and preparing correspondence and meeting materials, as required.
As Board Secretary, the incumbent will provide planning and coordination support for the Board of Trustees and Annual General Meetings, including maintaining accurate and comprehensive records of CPAWS’ activities.
This position is ideal for a highly organized, proactive professional who thrives in a dynamic, national environment and is comfortable managing competing priorities with discretion and professionalism. The ideal candidate will exhibit good judgment in all situations, exceptional organizational skills and keen attention to detail and accuracy, strong written and verbal communication skills in both English and French, demonstrated ability to work independently on various projects from conception to completion, and ability to work under pressure at times to manage a wide variety of activities.
This position will be hybrid, with our office located in downtown Ottawa.
Responsibilities
- Complete a broad variety of administrative tasks that facilitate the National Executive Director’s ability to effectively lead.
- Lead the coordination of logistics for national meetings and events, including those of the National Board of Trustees. (virtual and in-person.)
- Manage the National Executive Director’s annual office budget.
- Coordinate all meetings of the National Board of Trustees and its committees.
- Maintain board governance records and ensure proper documentation and organization, including managing information and access to CPAWS collaboration platforms and ensuring our policies are up to date.
- Support Annual General Meeting (AGM) planning and execution.
- General reception duties on occasion, as required.
- Support national office operations as necessary.
Qualifications & Expectations
Essential Assets
- Bilingualism (English and French) is required.
- 3+ years of related work experience in a professional environment supporting a senior executive. A combination of work experience and education may be considered.
- 5+ years of experience working in office administration.
- Prior experience with corporate governance and supporting Boards of Trustees.
- Experience coordinating meetings, events, and logistics with multiple stakeholders.
- Experience with conducting research and creating reports or presentations.
- Strong project management skills with the ability to organize and monitor deadlines and resources independently.
- Exceptional organizational and time management skills with high attention to detail and accuracy.
- Strong written and verbal communication skills with the ability to learn quickly.
- High level of discretion and professionalism in handling sensitive information.
- Proficiency in Microsoft 365 (Outlook, Word, Excel, Teams) and virtual meeting platforms.
- Ability to manage competing priorities and adapt to changing deadlines and conditions.
- Interest in or commitment to environmental conservation.
Nice to Have
- Prior experience in the non-profit or charitable sector.
- Experience supporting a national or multi-stakeholder organization.
- Education in administration, business, communications, or a related field.
Working Conditions
- Hybrid work environment based in Ottawa.

Le bureau national de la SNAP Canada est à la recherche d’un(e) adjoint(e) de direction national(e) et secrétaire du conseil d’administration pour soutenir la directrice générale nationale (DGN) et le conseil d’administration national.
Le poste d’adjoint(e) de direction national(e) et secrétaire du conseil d’administration est un rôle clé au sein de la SNAP Canada. La personne titulaire fournira un soutien administratif et stratégique à la directrice générale nationale, notamment en gérant les agendas, en triant et en priorisant les correspondances, en organisant la logistique des réunions, en appuyant certains processus administratifs et financiers, et en préparant les correspondances et documents de réunion au besoin.
En tant que secrétaire du conseil d’administration, le titulaire apportera un soutien en matière de planification et de coordination au conseil d’administration et aux assemblées générales annuelles, notamment en tenant des registres précis et complets des activités de la SNAP Canada.
Ce poste convient parfaitement à un professionnel très organisé et proactif qui s’épanouit dans un environnement national dynamique et qui est à l’aise pour gérer des priorités concurrentes avec discrétion et professionnalisme. Ce poste est offert en mode hybride et est basé dans nos bureaux situés au centre-ville d’Ottawa.
Responsabilités
- Accomplir une grande variété de tâches administratives qui permettent à la directrice générale nationale de diriger efficacement l'organisation.
- Assurer la coordination logistique des réunions et des événements nationaux, y compris ceux du conseil d'administration national (en personne et en mode virtuel).
- Gérer le budget annuel du bureau de la directrice générale nationale.
- Coordonner toutes les réunions du conseil d’administration national et de ses comités.
- Tenir à jour les dossiers de gouvernance du conseil d’administration et veiller à ce qu’ils soient complets, bien organisés et facilement accessibles, notamment en gérant l’information et les accès aux plateformes de collaboration de la SNAP Canada, et en s’assurant que les politiques pertinentes sont à jour.
- Soutenir la planification et la tenue de l’assemblée générale annuelle (AGA).
- Assurer au besoin certaines tâches d’accueil et de réception.
- Soutenir les activités du bureau national, au besoin.
Qualifications et attentes
Atouts indispensables
- Bilinguisme (français et anglais) requis.
- Au moins 3 ans d’expérience professionnelle pertinente dans un milieu professionnel à titre d’adjoint(e) auprès d’un cadre supérieur. Une combinaison équivalente d’expérience professionnelle et de formation peut être prise en considération.
- Au moins 5 ans d’expérience en administration de bureau.
- Expérience préalable en gouvernance organisationnelle et en soutien à des conseils d’administration.
- Expérience en coordination de réunions, d’événements et de logistique avec de multiples intervenants.
- Expérience dans la réalisation de recherches et la préparation de rapports ou de présentations.
- Solides compétences en gestion de projet, avec la capacité d’organiser et de suivre de façon autonome les échéances et les ressources.
- Excellentes compétences en organisation et en gestion du temps, avec un grand souci du détail et de la précision.
- Solides compétences en communication écrite et verbale, ainsi que la capacité d’apprendre rapidement.
- Grand sens de la discrétion et professionnalisme dans le traitement de l’information sensible.
- Maîtrise de Microsoft 365 (Outlook, Word, Excel, Teams) et des plateformes de réunions virtuelles.
