Project Coordinator (Halifax Regional Municipality)

The Project Coordinator will play a critical role in supporting the Strategic Infrastructure and Development (SID) project teams within Build Nova Scotia (BNS). They will contribute to the successful execution of various infrastructure projects, coordinating work for a variety of engineering projects and assisting in the development of standard project documentation, resource, cost, and performance management. The role involves project planning, work coordination, scheduling inspections, cost management, and close collaboration with internal teams and external stakeholders to achieve project objectives.

Responsibilities

• Coordinate and track tendering processes.
• Support municipal public consultation processes.
• Oversee contractor work on-site.
• Coordinate technical resources for installation and commissioning work.
• Assist in the planning, execution, monitoring, and reporting of projects from initiation to completion.
• Coordinate project activities, resources, and information to ensure timely and productive project delivery.
• Facilitate communication between project stakeholders, team members, and leadership.
• Access coordination and work scheduling for all sites in the program.
• Assist in the review of contractor documentation (safety, insurance, etc.).
• Coordinate tasks, deliverables, and decisions to keep the project moving forward.
• Assist in on-site inspection and review of contractor work.
• Assist in tracking project costs.
• Maintain comprehensive project documentation, including project plans, schedules, status reports, and risk assessments.
• Ensure project documentation is accurate, up-to-date, and accessible to relevant stakeholders.
• Support field staff on deployments as needed.
• Develop and generate regular reports on project progress, key performance indicators (KPIs), and overall program performance.
• Identify areas for improvement and work with stakeholders to implement corrective actions.

Qualifications

• Bachelor's degree in Engineering, Architecture, Project Management, CET or a related field.
• Proven experience in project coordination, project management, or related roles.
• Excellent organizational and multitasking abilities.
• Strong communication and interpersonal skills to work effectively with diverse stakeholders.
• Proficiency in project management software and tools.
• Knowledge of document management systems is advantageous.
• Strong results/service orientation and possession of high skill in project/relationship management, verbal and written communications, presentation/consensus-building, facilitation, and ability to establish effective rapport with users/vendors.
