We are seeking two analytical and driven Operations Officers III to join our Segregation, Trade Input, and Settlements team. These roles are critical to ensuring compliance with audit requirements and CIRO regulations within our Wealth Operations division. This is a 6-month contract with a strong possibility for extension or permanent conversion based on performance and business needs.

As an Operations Officer III, you will support the end-to-end lifecycle of trade inputs, settlements, and share movements. Our team is divided into two primary functions, and successful candidates will be aligned with one of the following processing paths based on their background:

Bookkeeping & Data Input: Focusing on receiving requests, ensuring they match internal bookkeeping, and inputting data into the official book of records.

Settlements & Reporting: Focusing on trade settlements, share movements, creating technical reports, and managing depository requirements.

Regardless of the specific path, you will act as a key liaison between brokers and traders, ensuring trades are executed and settled within strict regulatory timeframes.

Work Locations: Hybrid (4 days per week onsite). Candidates can report to either:

Toronto
Markham: (Parking available onsite)

Schedule: Monday to Friday. Candidates must be flexible to work either an 8:30 AM – 5:00 PM or 9:00 AM – 5:30 PM shift.

Responsibilities
Trade & Settlement Operations

Trade Execution: Facilitate trade settlements and share movements, ensuring all transactions are finalized accurately.

Depository Interaction: Review depository records (CDS/DTC) and reach out to relevant parties to request extensions on deliveries or inquire about share receipt status.

Bookkeeping: Maintain internal books of records, ensuring all entries align with transaction requests and financial data.

Reporting: Generate and review reports related to trade activity, segregation, and settlement status.

Compliance & Communication

Regulatory Adherence: Ensure all activities comply with audit requirements based on CIRO regulations.

Stakeholder Liaison: Maintain professional and timely communication with brokers and respond promptly to correspondence from traders.

Issue Resolution: Investigate discrepancies in share movements or settlement delays, escalating high-risk items to management as necessary.

Partner Support: Provide operational support for specialized transactions, demonstrating a clear understanding of product lifecycles and partner needs.

Qualifications
Mandatory Requirements

Experience: Proven administrative experience within a professional office or financial environment.

Technical Skills: Intermediate proficiency in Microsoft Excel (specifically comfortable with VLOOKUPs and data manipulation).

Communication: Strong written and verbal communication skills; 90% of the role involves professional email correspondence.

Work Ethic: Demonstrated speed and accuracy of deliverables with the ability to meet strict daily deadlines.

Education: Diploma in any discipline is required.

Preferred Qualifications

Banking Industry: 1+ years of experience within a Canadian financial institution.

Trade Lifecycle: 2–5 years of experience within the trade lifecycle (Trade Input, Settlements, or Corporate Actions).

Systems Knowledge: Prior experience using depositories such as CDS or DTC.
