The Marketing Administrator - Alberta reporting to the Marketing Admin Manager - Alberta is based in Sherwood Park. Marketing Administrator works collaboratively with our national training and development team to book and coordinate training events across the country. They coordinate the procurement and distribution of promotional items and support the day-to-day functions of the marketing administration team, including the creation of point-of-sale materials to support the dealer’s marketing of our products. They handle communications between teams to ensure marketing initiatives are met to the highest standards of each party.
Essential Responsibilities
Communications
- Support the planning, development, coordination, and delivery of internal and external marketing communications that ensure consistent messaging and field awareness.
- Develop, edit, proofread, and distribute marketing communications
- Create written content including dealer comms, internal announcements, emails, newsletters, presentations, training materials, social media content, and promotional copy.
- Ensure messaging is accurate, consistent, and aligned with corporate brand standards.
- Maintain communication templates, editorial standards, and messaging guidelines.
- Coordinate communications related to product launches, promotions, workshops, and business initiatives.
- Update and maintain content on internal communication platforms and marketing resource libraries.
- Collaborate with stakeholders to gather information and communicate initiatives effectively.
Workshops
- Coordinate and support the successful planning, delivery, and continuous improvement of First Canadian's training programs and learning experiences.
- Coordinate workshop scheduling, book hotels, participant registration and communications.
- Prepare materials including presentations, workbooks, participant guides, certificates, and supporting resources.
- Coordinate workshop supplies, promotional items, and participant prizing.
- Support FC Academy initiatives and digital learning resources.
- Maintain workshop documentation, attendance records, invoicing, and reporting.
- Gather participant and facilitator feedback to identify opportunities for continuous improvement.
- Support instructional design, content updates, and learning resource development.
Point of Sale (POS) Materials
- Support the development, maintenance, governance, and distribution of dealer-facing marketing materials that enable consistent brand representation across the organization.
- Develop, update, and maintain point-of-sale materials.
- Ensure marketing materials comply with corporate brand standards.
- Maintain version control and archive obsolete materials.
- Support cobranding projects by liaising with field teams, preparing assets, and coordinating approvals.
- Publish and maintain marketing resources on the Resource Centre and internal systems.
- Coordinate business card requests and corporate marketing collateral.
- Prepare print-ready files and coordinate production with vendors.
Promotional Events & Experience
- Coordinate promotional programs, inventory, branded merchandise, fulfillment activities, and relationship-building initiatives that support field teams, dealers, employees, workshops, and corporate events.
- Coordinate promotional orders from intake through fulfillment.
- Source promotional merchandise and manage vendor relationships.
- Purchase workshop supplies, branded merchandise, seasonal gifts, awards, and promotional items.
- Support employee recognition, onboarding, internal engagement initiatives, and staff sales.
- Coordinate promotional support for conferences, sponsorships, workshops, and corporate events.
- Conduct regular market analysis, including competitor comparisons, industry trends, and synthesis of insights to inform marketing strategy, promotional planning and workflow efficiency.
- Receive inventory, perform inventory counts, maintain warehouse organization, and replenish marketing stock.
- Support governance of promotional branding, logo usage, and vendor standards.
Additional Responsibilities
- In addition to functional lane responsibilities, Marketing Administrators will:
- Provide exceptional customer service to dealerships, sales teams, vendors, and internal departments.
- Support departmental projects and initiatives as assigned.
- Assist with process documentation, reporting, and administrative activities.
- Identify opportunities to improve workflows, systems, documentation, and operational efficiency.
- Maintain confidentiality and uphold First Canadian's policies, procedures, and brand standards.
- Other duties as assigned.
Qualifications
- A related post-secondary degree/diploma in journalism/communication, marketing, or business administration is required.
- 3 to 4 years of experience in journalism/communication, marketing, or business administration is required.
- Proven record of excellent writing demonstrated in a professional portfolio.
- Strong organizational skills with attention to detail.
- Strong and confident communicator, both written and oral.
- Strong writing, editing, and revision skills.
- Exceptional interpersonal skills; works effectively and collaboratively within a team and independently with minimal supervision.
- Exceptional customer service skills.
- Prior experience in the Auto or Insurance industry is preferred but not required.
- Knowledge of Adobe Acrobat Pro, Adobe Photoshop, Canva, and IBMi-AS400.
- Intermediate skill with Microsoft Office (Word/Excel) is required.
- Fluent in English with proven competencies in verbal and written communication is required.
- Fluent in French with proven competencies in verbal and written communication is an asset.
- Successful completion of a criminal background check, education verification and employment reference checks is required before employment.
