As an Admissions & Onboarding Specialist , you will be responsible for the critical first stages of the learner journey across our apprenticeship programmes. The role focuses on executing the practical elements of recruitment and enrolment, from conducting initial assessments to ensuring all documentation is accurate and audit-ready. You will work closely with the wider Learner Journey team to proactively resolve any barriers that could prevent an apprentice from successfully starting their programme.

As an Admissions & Onboarding Specialist at Decoded, you are accountable for:
Ensuring all learner documentation and data entry is 100% accurate and ready for audit.
Providing a high-quality initial experience for learners, fostering a supportive environment from day one.
Supporting continuous quality improvement by identifying and resolving issues that hinder the enrollment timeline.
Identify and resolve any issues or barriers that could prevent an apprentice from starting their programme.
Ensure all data entry into learner management systems is accurate and compliant with DfE funding rules.
Stay informed of national and sector trends in apprenticeship recruitment to support the broader team strategy.

Compliance & Quality
Maintain learner-related processes that are fully compliant with DfE funding rules, Ofsted standards, and awarding body requirements.
Support the preparation for external audits and contribute to the internal continuous quality improvement (CQI) process.
Provide regular data and reports on admissions and enrollment metrics to the leadership team.
Champion inclusion and accessibility throughout the onboarding phase, embedding best practices in initial learner support.
A learner-focused individual with proven experience in apprenticeship admissions, further education, or work-based learning environments.
A strong understanding of DfE funding rules and the compliance requirements for apprenticeship starts.
Meticulous attention to detail with the ability to maintain accurate, audit-ready documentation and data.
Data-driven and proactive, with the ability to use insights to improve the efficiency of the onboarding process.

This role will report into the Senior Learner Journey & Success Manager

Our working hours are 9 am to 5 pm, Monday to Friday (UK time). You plan your working day around the best outcomes for success, identifying and prioritising projects against business needs. As we work with clients across different time zones, there may occasionally be times when you need to be flexible, for example, delivering a session for a US-based client might mean finishing later in the evening. Given the global nature of our learner and customer base, you may be OR it is likely that there will be occasions when you are required to adjust your working hours, working outside your normal working pattern of 9am – 5pm. In these cases, you will be entitled to flexibility around working time to ensure adequate rest breaks

33 days leave per year (inclusive of bank holidays) and an extra tenured holiday enabling team members to gain an additional day for every year you are with us (after the first 2 years) up to a maximum of 8. We also close the office for 2 full weeks at Christmas at Decoded's discretion which does not come out of your holiday allowance.
