Position Summary
We are looking for a proactive and customer-focused Leasing & Marketing Coordinator to support our leasing operations and resident acquisition efforts. This role serves as the first point of contact for prospective tenants, managing inquiries across multiple channels, scheduling property tours, supporting lease administration, and assisting with digital marketing initiatives. The ideal candidate is organized, tech-savvy, and comfortable balancing customer service, sales support, and marketing responsibilities.
Key Responsibilities
Leasing & Lead Management
- Respond promptly to incoming leasing inquiries via phone, email, website forms, social media, and online listing platforms.
- Qualify prospective tenants and answer questions regarding available properties, pricing, amenities, and leasing requirements.
- Schedule property viewings and coordinate appointments for leasing agents and property managers.
- Maintain accurate records of all leads, communications, and follow-up activities within the property management system (Yardi).
- Conduct follow-up outreach with prospective tenants to increase conversion rates and occupancy.
Lease Administration
- Prepare lease packages and supporting documentation for prospective tenants.
- Ensure applications are properly reviewed before approval.
- Assist with collecting applications, supporting documents, and required information.
- Ensure completed leases and tenant information are accurately entered into property management software.
- Coordinate with property management staff to ensure smooth tenant onboarding.
- Schedule and coordinate move-in dates / key coordination with Facilities Manager.
- Maintain organized digital records and leasing documentation.
Marketing & Lead Generation
- Assist in creating and maintaining online property listings across rental platforms.
- Support social media marketing efforts, including Facebook, Instagram, and other relevant channels.
- Help develop and execute online marketing campaigns to increase lead generation and occupancy.
- Monitor listing performance and recommend improvements to enhance lead conversion.
- Create basic marketing materials, promotional content, and property advertisements.
- Assist with reputation management, including online review monitoring and response coordination.
Qualifications & Skills
- Previous experience in leasing, property management, customer service, sales, or marketing preferred.
- Strong communication and customer service skills.
- Comfortable handling high volumes of phone calls, messages, and inquiries.
- Experience with social media platforms, particularly Facebook Marketplace and Facebook Messenger.
- Strong organizational skills and attention to detail.
- Experience using property management systems (asset)
- Ability to manage multiple priorities in a fast-paced environment.
- Self-motivated with a strong follow-up and customer-focused mindset.
