Job Summary

The Community Services Coordinator is accountable to the Manager of Training & Community Services for the effective and professional coordination of community service programs in the Centre, for ensuring that all Centre's volunteer scheduling is professionally administered, and for the effective administration of St John Ambulance Instructors/Partner-Providers and Volunteers for the Centre. The Community Services Coordinator is the Centre's primary resource on program information, volunteer development, and community service policies and procedures.

The Coordinator works closely with the Coordinators' Team in the Centre and the Training & Community Services Division in the Provincial Head Office.

Job Duties

• Coordinates all community service activities in the Centre - including volunteer recruitment, training, administration and exit administration; assist community service team leaders in orienting and motivating new members.
• Conducts interviews for volunteer applicants and determines in-take, orientation, and training schedules.
• Develops and maintains close contact with consumers and clients of community services for the Centre and liaises with clients in an effort to sustain and enhance the public image of community services programs for the Alberta Council.
• Coordinates the appropriate training and development of volunteers when required and ensures that members maintain standards of training, dress and deportment when representing St John Ambulance on public duties.
• Deploys volunteers in their respective duties and attends general and unit meetings, as needed.
• Coordinates the deployment and delivery of assets (vehicles and uniforms, etc) on behalf of the Centre in accordance with practices established by the Training & Community Services division in Provincial Head Office.
• Conducts site visits for event support coverage and program services, as required, for each Community Services Program offered through the Centre.
• Completes all post-event activities as required for each program.
• Maintains volunteer and event statistics for each program offered in the Centre. Ensures the required data is entered in the national database and updated, as needed. Runs reports and performs quality assurance checks on the Community Services and Volunteer data in the system to ensure accuracy of data is maintained.
• Coordinates community relations events, special events, and open houses as needed and encourages volunteer involvement to reflect the support element of St John Ambulance in the communities, as appropriate.
• Engages in on-going internal audits of all Community Service programs in the Centre using the tools and instruments developed by the Training & Community Services Division in the Provincial Head Office.
• Works cooperatively as part of the Centre's coordinating team in managing cross- team issues, planning special events, identifying potential award recipients, administration procedures, facilities, and any other Centre specific matters that arise.
• Works closely with the Manager of Training & Community Services to implement the annual business plan objectives for Training & Community Services in the Centre. Also ensures throughout the planning cycle that the appropriate resources are properly budgeted and scheduled and identifies any additional supply and equipment needs.
• Responsive to the guidance, direction, and instructions of the Executive and Management Team.
• Reports any matters of discipline concerning volunteers to the Manager of Training & Community Services in the Provincial Head Office and provides recommended solutions.
• May participate on committees representing the interest of St John Ambulance, as approved by the Manager of Training & Community Services, as well as attend meetings and workshops as needed to provide relevant information to assist the groups in performing their role within St John Ambulance.
• Accepts project work and assumes other duties assigned by the Manager of Training & Community Services.
• Participates in the Centre's Health and Safety Committee.
• The Centre's lead trainer for the Respect in the Organization workshop.
• Keeps abreast of issues in the community that may arise affecting the network of volunteers (e.g. legal and social issues) and reports those to the Manager of Training & Community Services.

Job Requirements

• Experience in a customer service and administration environment.
• Skills in scheduling and coordination of people and assets.
• Ability to work independently and in a team environment.
• Knowledge of local area volunteer sector and the health, safety and business environment.
• Ability to work with a wide range of individuals with varying degrees of educational and social backgrounds and capabilities.
• Ability to resolve issues in a professional and courteous manner.
• Effective organizational and communication skills.
• Excellent communication and presentation skills.
• Clear criminal record check.
• Valid class 5 driver's license with a clean driving abstract.
• Post-secondary education and/or experience in the education/training or volunteer sector, an asset.
• Awareness of St John Ambulance programs and products, an asset.
• Volunteer and/or First Aid instructional experience, an asset.

Work Conditions

• Working in a busy office environment with frequent interruptions.
• Interaction with customers/clients, students, instructors, volunteers, and the public at large including situations of a highly sensitive nature.
• Extended periods of sitting.
• Attendance and participation in training/orientation.
• Some repetitive physical activity (lifting, bending, twisting, and moving equipment).
• Able to work evenings and/or weekends as needed.
• Operation of desktop computer and peripherals.
• Operation of SJA Community Service vehicles and other equipment.
• Carry a work phone for emergencies and ease of access for urgent matters.
• Some travel may be required.

Job Types: Full-time, Permanent
