Key Responsibilities
Project Coordination & Administration
- Establish and implement an internal project communication plan and its supporting processes, e.g., coordination of timelines, deliverables, and communication among the interdisciplinary research team members, farmer collaborators, and partner organizations.
- Schedule and lead monthly meetings for project teams, partners, and advisory groups.
- Establish and maintain file management systems for project documentation, presentations, and meeting notes.
- Establish and implement processes for administrative tasks necessary for the smooth operation of the project including tracking of project milestones, deliverables, and timelines; provide reminders and follow-up to ensure smooth execution of activities.
- Establish and implement processes to direct inquiries about the project to the appropriate team members.
- Establish systems for the research team to collaboratively prepare annual project reports to funders and project stakeholders. Coordinate writing and review of reports and newsletters with research team members.
- Provide day-to-day administrative coordination for project teams, including managing calendars, organizing meetings, taking minutes, and establishing action items.
- Establish processes to track budgets and coordinate project expenditures to keep within a prescribed budget to achieve project goals and deliverables.
- Assist with purchasing, reimbursements, travel arrangements, and budgeting coordination in alignment with university policies.
- Maintain and supervise updates to the project webpage.
Stakeholder Engagement & Partnership Development
- Establish and maintain strong, ongoing relationships with partners across production, environmental, and policy organizations in the Eastern Prairie region.
- Establish new research relationships with First Nations community partners in the Eastern Prairie region. Support data sharing in alignment with OCAP and CARE principles when working with First Nations partners.
- Ensure partners’ objectives are understood and reflected within project research activities, using a co-design approach.
- Facilitate research co-design activities among graduate students, academics, farmers, First Nations partners, and policy representatives.
- Develop and deliver professional development for project trainees on co-design and stakeholder relationship building.
- Connect non-academic partners and researchers to foster collaborative problem-solving and shared learning.
Knowledge Mobilization & Communication
- Provide advice and guidance to academics, graduate students, post-doctoral fellows, and technical staff on knowledge mobilization approaches.
- Design and deliver professional development training modules (lectures, workshops, labs) on knowledge mobilization approaches for project trainees.
- Organize extension activities, such as roundtables, field days, partner workshops, and public forums.
- Coordinate the planning and delivery of LEAP Summer Institutes and LEAP Symposium. This will include agenda development, identifying and inviting speakers, and logistics planning.
- Establish processes for mobilizing project results to create outreach materials for academic, farmer, policy, First Nations, and community group audiences (e.g., fact sheets, infographics, summary briefs, web content, newsletters, social media).
- Write knowledge mobilization materials that translate scientific findings into practical tools and messages for farmers, policy, First Nations, and community group audiences.
- Coordinate project mobilization activities with the Faculty of Agricultural and Food Sciences communications specialist involving social media outreach, public-facing updates, and the promotion of project events, milestones, and research outcomes.
- Other duties as assigned.
Qualifications
MINIMUM FORMAL EDUCATION/TRAINING
- MSc in Soil Science, Plant Science, or related field plus five years of directly related experience
OR
- BSc in Agriculture, Agroecology, or related field plus seven years directly related experience required.
EXPERIENCE
- A suitable combination of education and experience may be considered.
SKILLS AND ABILITIES
- Excellent oral and written communication skills with researchers and farmers are required.
- Ability to coordinate and delegate tasks to teams of personnel is required.
- Ability to handle multiple and simultaneous complex tasks, timelines, and priorities is required.
- Meticulous attention to detail and commitment to maintaining high-quality standards for project activities is required.
- Ability to independently exercise sound judgement and problem-solving skills related to coordination and industry engagement is required.
- A high level of proficiency in standard software including Microsoft Word, Excel, and PowerPoint is required.
- Experience establishing knowledge mobilization plans and writing extension materials is required.
- Experience establishing relationships with farm organizations and communities in the Eastern Prairie region is preferred.
- Experience with agricultural research, farm systems, regenerative agriculture, or nature-based climate solutions is preferred.
- Experience leading engagement and outreach activities with Indigenous communities and organizations, including relationship-building with Elders, knowledge keepers, community members, and Indigenous-led organizations is preferred.
- Knowledge of the culture, history, and contemporary realities of Indigenous Peoples on the Canadian Prairies, including an understanding of Treaty relationships, land-based practices, and the ongoing impacts of colonization on Indigenous agriculture and food systems and livelihoods is required.
- Familiarity with OCAP and other frameworks for ethical and respectful engagement in Indigenous research and community partnerships is preferred.
- Experience managing project budgets is preferred.
- Experience establishing professional development training and delivering lectures, labs, or presentations to students is preferred.
- Satisfactory work record, including satisfactory attendance and punctuality, is required.
OTHER JOB RELATED QUALIFICATIONS
- Valid Class 5 driver’s license is required.
