Receptionist (Bilingual)

Job Responsibility:
Job Summary The Receptionist serves as the face of the company and the first point of contact for our customers. This role is responsible for managing and directing incoming calls to the appropriate department or salesperson, welcoming and guiding visitors to the correct location for meetings or deliveries, and coordinating office activities to ensure smooth and efficient daily operations. Responsibilities

- Receive/direct/assist incoming calls for Hoskin Group and backup phone coverage as necessary.
- Maintain current staff lists for the Hoskin Group.
- Receive/open/distribute mail for Hoskin Group.
- Receive couriers with deliveries and distribute accordingly.
- Order/maintain stock of ink cartridges for office printers and stationery supplies as required.
- Order and store janitorial / washroom supplies as required.
- Order coffee and kitchen-related supplies as required.
- Communicate with the operations, landlord, and janitors regarding any issues regarding the building.
- Assist the Accounts receivable department with cheques for deposit and collections when asked.
- Assist Accounts Payable with vendor statements, scanning and saving vendor invoices, processing expense reports, and mailing cheques.
- File certain documents as requested by all Departments. Maintain and coordinate storage for these files regularly.
- Add new staff to the system for parking lot access and assign fob for building entry. (Location specific).
- Assist IT as needed regarding setting up new laptops and setups for new hires and occasional server issues.
- Maintain mail machine: add postage as needed, order supplies, perform minor maintenance on machine.
- Keep photo copier trays full (paper), liaise with support to resolve issues.
- Ensure Boardrooms are clean and tidy for meetings and that clean coffee mugs are available.
- Maintain some cleanliness in the lunchroom; refill soaps and towels in washrooms as required.
- Decorate lobby for Christmas season; put up and take down tree.
- Organize/assist with office social events, catering requirements, and large meeting requests.
- Perform additional duties as assigned to support team and organizational goals.
Qualifications
- Bilingual (English/French).
- Proven experience in a customer service role, preferably in a scientific distribution business.
- Excellent written and verbal communication skills to interact with customers, vendors, and employees.
- Friendly demeanor.
- Strong organizational skills and ability to manage multiple priorities.
- Excellent attention to detail.
- Familiar with Microsoft Office applications.
- Familiarity with office equipment such as computers, printers, and telephones.
- Ability to work independently and in a team in a fast-paced environment.
- A positive attitude committed to providing excellent service to all customers, employees, and visitors.
Education / Experience
- Post-secondary degree or diploma
- Minimum of 3-5 years of experience in an office environment.
- Previous experience in customer service/receptionist role ideal.
