This role is ideal for an experienced event professional who can quickly integrate into a fast-paced team environment and help deliver impactful experiences for our people, clients, and communities.
What will your typical day look like?
You will play a key role in the planning and execution of national events across Canada, managing assigned event workstreams and collaborating with internal stakeholders, external vendors, and members of the National Events team to deliver exceptional event experiences. In this role, you will oversee complex logistics, support stakeholder engagement, contribute to the attendee experience, and help ensure events are delivered seamlessly from planning through execution. This position requires strong event management skills, the ability to manage multiple priorities, and a proactive, solutions-oriented approach.
Key Responsibilities:
- Manage assigned event workstreams for in-person, virtual, and hybrid events, working closely with Event Managers and Senior Managers to support successful delivery.
- Coordinate event logistics including venue sourcing, vendor coordination, food and beverage planning, audiovisual requirements, registration, attendee communications, and onsite execution.
- Act as a day-to-day point of contact for assigned events or event components, ensuring timelines, deliverables, and stakeholder requirements are tracked and completed.
- Support stakeholder meetings by preparing agendas, capturing follow-ups, maintaining planning documents, and helping drive key actions forward.
- Support vendor management activities including proposals, contracts, purchase orders, invoices, and budget tracking.
- Partner with internal teams such as Legal, Procurement, Risk Management, and others to ensure compliance with firm policies.
- Contribute to attendee experience elements such as registration flow, signage, room setup, event materials, speaker support, and onsite troubleshooting.
- Assist with speaker preparation, run-of-show development, production schedules, briefing documents, and day-of-event coordination.
- Provide onsite event support, including registration desk management, vendor coordination, issue resolution, room resets, and event closeout.
- Support post-event activities including survey coordination, reporting, budget reconciliation, and lessons learned.
- Demonstrate flexibility, sound judgment, and resourcefulness when responding to shifting priorities or event-related challenges.
Enough about us, let’s talk about you
You are someone with these required skills, experience and qualifications:
- Minimum of 3-5 years of experience in event planning, with a proven track record of managing complex, high-impact events in various formats.
- In-depth knowledge of the event industry and well-established professional relationships across Canada.
- Post-secondary education in Event Management, Hospitality, Business, Communications, Marketing or a related field.
- Advanced digital literacy, including MS Word, Excel, PowerPoint, and Outlook.
- Proficiency with event management software (such as Cvent) and other event technology.
- Excellent interpersonal and communication skills, with proven ability to collaborate across teams and with stakeholders.
- Demonstrated ability to manage multiple priorities and deadlines in a fast-paced environment.
- Strong problem-solving, leadership, and budget management skills.
- Flexibility to work outside standard business hours, execute onsite events, and travel as required.
