Job Overview

We are looking for a Scheduler to join our team. Heidehof offers a range of quality living environments and services for seniors.

The Scheduler is responsible for coordinating, organizing, and maintaining schedules to ensure smooth daily operations.

Responsibilities & Duties

• Maintains staff schedules (e.g., master rotation) in accordance with collective agreement requirements and departmental policies/procedures.
• Calls and schedules staff for replacement of short-notice absences, leaves of absences (e.g., vacations, extended sick leaves).
• Create and schedule staff according to staff availability.
• Answer department's phone calls and emails.
• Manage the overall scheduling system and ensure that all schedule updates and changes are reflected on the system.
• Posting of job vacancies when required, as per the collective agreement.
• Formats, prints, and posts staff schedules.
• Respond, follow up, or act upon any system generated notifications received.
• Send reminders to staff regarding policies and procedures on accepting and declining shifts, changing of availability, and requests for time off.
• Develop and maintain good working relationship with staff.
• Prepare, maintain, and submit required reports.
• Perform additional duties as required.

Qualifications

·         At least two years of job-related experience

·         Proficient in MS Office and payroll software, with strong MS Excel skills.

·         Ability to manage confidential and sensitive matters with discretion.

·         Quick-thinking and adaptable professional, committed to excellent customer service and thriving in fast-paced, multitasking environments.

·         Ability to speak and understand German is an asset.

Working Terms

·         Office Hours are Monday to Friday 8:30-4:30
