General
- Ensure that all aspects of work are completed in accordance with the principles, standards and policies & procedures of The Salvation Army London Centre of Hope
- Prepare and maintain reports, correspondence and other documentation that is necessary to carry out the functions of the London Centre of Hope
- Responsible for recording and typing minutes of assigned meetings and once approved by the Executive Director or designate, circulate and/or post
- Assist the Leadership Team with projects, reports and special events (including staff training and wellness opportunities)
- Provide ongoing management and archiving of personnel files in compliance with applicable Salvation Army and legal requirements
Payroll and Timekeeping
- In conjunction with the Directors Team, ensure that any employee changes for payroll have been processed through timekeeper access in Workday.
- Input payroll hours submitted by the Leadership Team and submit to the Territorial Headquarters Payroll Department through Workday as per bi-weekly payroll schedule
- Maintain and file all associated payroll documentation
- Review payroll register upon receipt and notify Territorial Headquarters Payroll immediately of any errors
- Respond to inquiries from staff regarding payroll matters and support managers with corrections as appropriate.
- Track staff hours for seniority purposes. Prepare seniority reports that are required by the Collective Agreement.
Recruitment/Selection/Orientation
- Liaise with hiring managers to assist with interview scheduling, resume screening and reference checking
- Work with the hiring manager to assist with the onboarding process including developing the itinerary for the orientation day(s) and booking any relevant meetings or training that needs to occur.
- Help prepare new employee orientation packages (union and non-union), and that material contained within is up-to-date and relevant (Employee Manual)
- Ensure that all new employees are provided with their access card, ID badge, etc.,
Training and Development
- Develop and publish Annual Training Calendar
- Track participants and training records, ensuring information is entered into database. Assist with the transition to the new Learning Management System in Workday.
- Perform other position related duties as required.
Qualifications
- Completion of a Community College program, preferably the completion of a diploma or certificate in Administration, Business Administration or related field.
- Minimum of two (2) years of prior related experience and working knowledge in payroll and office administration experience is required.
- Excellent computer and database skills, well versed in MS office ensuring accuracy and attention to detail; Familiarity with using Workday would be an asset.
- Self-directed with superior organizational skills and the ability to complete assignments and meet deadlines with minimal supervision
- Must have strong interpersonal and communication skills and an ability to work cooperatively with the Leadership Team and community partners, to create a working climate within their team that is positive and mutually supportive
- Knowledge and understanding of The Salvation Army, its mission and its principles, and a willingness to adhere to and promote them
- First Aid/CPR and Non-Violent Crisis Intervention training preferred
- Strong oral and written communication skills
- Demonstrated ability to use sound judgment when making decisions and be solution focused.
- Note: The successful incumbent will be required to provide a Background Check through the national Canadian Police Information Centre (CPIC) that is satisfactory to The Salvation Army, in its sole discretion. In addition, screening through The Salvation Army Abuse Registry may also be required.

Conditions of Employment
- This is a temporary one year fixed-term contract, covering a maternity leave, based on 40 hours per week.
- Normal hours of work – Monday to Friday 8:00 a.m. to 4:00 p.m. and includes a ½ hour paid meal break. Flexibility in scheduling is required.
- Location of work is at 281 Wellington Street, London, ON N6B 2L4
Compensation
The target hiring range for this position is $41,787.20 to $52,228.80 with a maximum of $62,670.40.
Placement in the salary range will be based on factors such as market conditions, internal equity, and candidate experience, skills, and qualifications relevant to the role.
