POSITION PURPOSE
The Food Systems Coordinator is responsible for coordinating food services and essential supplies that support women
and children staying in YWCA Regina's shelters. Reporting to the Shelter Manager, this role manages regular food orders,
pickups, and deliveries between the Regina Food Bank and YWCA program sites to ensure consistent access to nutritious
food while reducing waste and improving operational efficiency. Working collaboratively with Shelter staff, the position
supports a trauma-informed, culturally responsive environment in which food and supplies are provided with dignity,
choice, and respect. Core areas of responsibility include food planning and utilization, inventory and purchasing oversight,
and coordination of selected household operations related to food services and supply management. The role contributes
directly to YWCA Regina's mission of creating safe, dignified, and supportive spaces for women and children rebuilding
their lives.
KEY RESPONSIBILITIES
Food Coordination & Planning ( 35%)
- Coordinate food orders, pickups, and deliveries between the Regina Food Bank and YWCA program sites.
- Plan menus in accordance with Canada's Food Guide, ensuring balanced, nutritious meals appropriate for women
and children, including those with dietary, cultural, religious, or medical needs.
- Implement food utilization strategies to minimize waste and maximize available resources.
- Organize and manage bulk food days and large-scale food pickups.
- Ensure safe food handling, storage, preparation, and quality standards are maintained in accordance with public
health and food safety requirements.
Inventory & Supplies Management ( 25%)
- Monitor and maintain inventory levels for food, hygiene items, and essential household and program supplies across
shelter locations.
- Purchase groceries and household supplies as required, in accordance with approved budgets and purchasing
procedures.
- Maintain accurate records of purchases, inventory, receipts, and related documentation.
- Report inventory levels, budget variances, or supply concerns to the Shelter Manager.
- Identify supply shortages or surpluses and adjust ordering to maintain consistent availability
Collaboration & Communication ( 15%)
- Facilitate effective coordination and communication between YWCA Regina and the Regina Food Bank.
- Collaborate with Shelter staff to ensure food systems align with daily shelter operations.
- Identify and recommend opportunities to improve efficiency, access, and responsiveness to community needs
related to food and supplies.
Client Support & Environment ( 15%)
- Contribute to a welcoming, trauma-informed, and culturally responsive shelter environment.
- Serve as a positive role model for residents and include them in daily routines where appropriate.
- Support food service in a way that upholds resident dignity and choice, recognizing that mealtimes are an important
part of shelter life.
- Maintain confidentiality and appropriate professional boundaries with residents at all times.
- Continue developing knowledge of Indigenous cultures, traditions, and community engagement practices, and apply
this understanding in daily work.
Health, Safety & Household Coordination ( 10%)
- Maintain health, safety, and sanitation standards in food preparation areas and shared spaces.
- Monitor the cleanliness of the shelter and coordinate housekeeping tasks with the Shelter Manager.
- Identify household maintenance needs and coordinate repairs when required.
- Support basic care of program vehicles related to food pickups and deliveries, including cleanliness and reporting
maintenance concerns.
- Follow shelter emergency and safety protocols, including responding appropriately to a crisis or volatile situation.
- Perform other related duties as assigned.

Education
• Completion of Grade 12 (high school diploma) or equivalent.
- An equivalent combination of education, training, and lived or work experience will be considered
Certifications and License
• Food Safe Handling Certificate (or willingness to obtain within [timeframe] of hire).
- Standard First Aid and CPR certification (preferred at time of hire; candidates willing to obtain it shortly after starting
will be considered, and it is required before working independently on the floor).
- Valid Class 5 driver's license is required for this position
Experience
• One to two years of experience in a role involving food coordination, kitchen operations, inventory or supply
management, or community/social services support.
- Experience working in a shelter, social services, healthcare, hospitality, or community-based setting is an asset.
Knowledge, Skills & Abilities
• Strong organizational and coordination skills, with the ability to manage food orders, pickups, deliveries, and
inventory across all shelter locations while maintaining accuracy under competing demands.
- Solid understanding of safe food handling, storage, and preparation standards, including allergen awareness and
sanitation requirements in shared kitchen environments.
- Ability to plan balanced, nutritious menus in accordance with Canada's Food Guide, accommodating diverse dietary,
cultural, religious, and medical needs.
- Sound record-keeping and basic budgeting skills, with the ability to track purchases, monitor inventory, and report
variances accurately.
- Working proficiency with everyday computer tools (email, Microsoft Teams, spreadsheets, inventory or ordering
systems).
- Ability to work both independently and collaboratively within a team, exercising sound judgment and a solutions-
oriented approach. • Strong interpersonal skills, with the ability to interact respectfully with residents, staff, and
community partners such as Regina Food Bank.
- Demonstrated cultural awareness and respect for women and children from diverse backgrounds, and the ability to
apply trauma-informed and culturally responsive principles in daily work.
- Commitment to upholding resident dignity, choice, and confidentiality in the delivery of food and supports.
PREFERRED QUALIFICATIONS
- Experience working with Indigenous communities and cultures, or a demonstrated willingness to engage respectfully
and continue learning.
- Experience supporting individuals with complex needs, including those experiencing homelessness or fleeing
violence.
- Knowledge of Trauma-Informed Care and family violence dynamics.
- Experience in food service, menu planning, inventory management, or a related field.
- Lived experience relevant to the populations served.
WORKING CONDITIONS & PHYSICAL REQUIREMENTS
- Work Environment: Work is performed across YWCA Regina shelter sites and involves regular travel to the Regina
Food Bank and other community partner locations for food and supply pickups. The role works in shelter and shared
kitchen environments serving women and children, which may at times include contact with individuals in crisis.
- Physical Demands: Regular lifting, carrying, and moving of food and supplies (up to 25 kg / 55 lbs); standing and being
on your feet for extended periods; and frequent driving for pickups and deliveries.
- Schedule: 37.5 hours per week, Monday to Friday, 9:30 a.m. to 5:30 p.m., with some flexibility required for occasional
evenings, food pickups, deliveries, bulk food days, and program needs.
- Special Conditions: A valid Class 5 driver's license is a mandatory requirement of this position, as regular travel for
food and supply pickups is an essential function of the role. A satisfactory Criminal Record Check, including a
Vulnerable Sector Check, is required prior to start.
