Position Overview
We are seeking an experienced, hands-on Medical Operations Administrator to lead the day-to-day operations of a busy, innovative teaching medical centre located west of London, Ontario. This leadership role is ideal for a healthcare operations professional with strong clinical and administrative experience who thrives in a fast-paced environment and is passionate about supporting high-quality patient care, physician education, operational excellence, and continuous improvement.

Reporting to the Centre’s Board of Directors, the Medical Administrator will work closely with physicians, learners, centre staff, and external stakeholders to ensure the centre operates efficiently, remains compliant with all regulatory requirements, achieves funding and attachment targets, and provides an exceptional patient experience.

The Medical Administrator will foster strong partnerships with neighbouring Indigenous communities and other community stakeholders to support equitable access to care, culturally safe healthcare delivery, and meaningful community engagement initiatives aligned with the centre's mission and values.

This is an active operational role requiring a strong understanding of primary care workflows, medical administration, electronic medical records, scheduling systems, quality improvement, and healthcare regulations. Key Responsibilities
Clinical Operations Leadership
  • Oversee all day-to-day centre operations to ensure efficient, patient-centered care delivery.
  • Develop, implement, and optimize clinical and administrative workflows.
  • Support physicians, residents, learners, nursing staff, and administrative teams in achieving operational objectives.
  • Ensure consistent application of medical directives, policies, procedures, and best practices.
  • Lead patient intake processes and patient flow initiatives to improve access and service delivery.
  • Monitor centre performance metrics and implement process improvements to enhance operational efficiency.
EMR & Technology Management
  • Design, build, and maintain EMR templates, forms, workflows, and documentation tools.
  • Develop and execute Accuro queries, reports, audits, and data extraction projects.
  • Support physicians and staff in optimizing EMR utilization and workflow integration.
  • Oversee optimization of Phelix AI and other digital health solutions.
  • Provide leadership for centre IT systems, vendor relationships, troubleshooting processes, cybersecurity awareness, and technology planning.
Scheduling & Resource Management
  • Manage physician, learner, and staff scheduling using Petal scheduling software.
  • Develop and maintain scheduling processes that maximize centre capacity and patient access.
  • Monitor staffing requirements and operational resource allocation.
Quality, Compliance & Risk Management
  • Lead infection prevention and control (IPAC) programs and compliance initiatives.
  • Ensure compliance with:
    • PHIPA
    • Ministry of Health requirements
    • CPSO standards
    • Accreditation and quality standards
    • Occupational health and safety requirements
  • Conduct regular compliance audits and operational reviews.
  • Maintain policy and procedure manuals and lead policy development initiatives.
  • Identify operational risks and implement mitigation strategies.
Reporting & Performance Monitoring
  • Prepare and submit reports to funders, governing bodies, leadership teams, and the Board of Directors.
  • Monitor and report on patient attachment targets, access metrics, quality indicators, operational performance measures and other funding requirements.
  • Analyze centre performance trends and recommend operational improvements.
Financial & Administrative Oversight
  • Manage medical and office supply procurement and inventory control.
  • Monitor operational budgets and expenditures.
  • Support business planning and resource management initiatives.
  • Assist with vendor negotiations and contract administration.
Strategic Planning & Capital Projects
  • Support centre growth initiatives and operational planning.
  • Lead or participate in facility upgrades, renovations, and capital development projects.
  • Develop implementation plans for new programs, services, and technologies.
Teaching Centre Support
  • Support the unique operational requirements of a teaching environment.
  • Coordinate operational processes that facilitate learner integration and physician teaching activities.
  • Collaborate with academic partners and stakeholders to support educational excellence.
Community Engagement & Equity Partnerships
  • Develop and maintain respectful, collaborative relationships with Indigenous communities, organizations, Elders, Knowledge Keepers, and healthcare partners.
  • Support initiatives that improve access to culturally safe, equitable, and patient-centered healthcare services.
  • Collaborate with community stakeholders to identify healthcare needs and opportunities for service enhancement.
  • Promote cultural safety, inclusion, and health equity throughout centre operations, policies, and patient care processes.
  • Support physician and staff education related to Indigenous health, cultural humility, and reconciliation in healthcare.
Facility Management
  • Oversee the maintenance, safety and security of centre facilities to ensure a safe, efficient and welcoming environment for patients, residents, physicians and staff.
  • Manage relationships with contractors and service vendors.
  • Lead space planning initiatives to support center growth and operational efficiency.
  • Monitor expenditures for maintenance, repairs, equipment and capital improvements.
  • Support and lead renovation, expansion and capital development projects from planning through implementation.
Qualifications
Required
  • Minimum 5 years of healthcare operations or medical centre management experience.
  • Post-secondary education in healthcare administration, nursing, health sciences, or a related field.
  • Demonstrated experience in a primary care, family medicine, community health, or teaching centre environment.
  • Advanced experience with Accuro EMR, including template creation, custom forms, reporting and analytics, query development and workflow optimization
  • Experience using medical scheduling software.
  • Strong understanding of:
    • PHIPA
    • Infection Prevention and Control (IPAC)
    • Medical directives
    • Clinical operations
    • Quality improvement
    • Healthcare compliance requirements
  • Experience developing policies, procedures, and operational standards.
  • Exceptional organizational, analytical, and problem-solving skills.
  • Strong written and verbal communication skills.
Preferred
  • Certification in healthcare management, quality improvement, project management, or infection control.
  • Experience managing capital projects and centre expansions.
  • Knowledge of Ministry of Health funding models and attachment target reporting.
  • Demonstrated experience building and maintaining relationships with Indigenous communities, organizations, and healthcare partners.
  • Understanding of Indigenous health priorities, cultural safety principles, and the Truth and Reconciliation Commission's Calls to Action related to healthcare.
