Faculty Advisor

Reporting to the Manager, Student Affairs, and based in OASIS (Office of Advising and Student Information Services), the Faculty Student Advisor provides guidance and support to a diverse student population, by responding to their academic needs, facilitating the pursuit of their educational goals and ensuring that they make the most of their University experience. The incumbent delivers and supports the delivery of advising and student affairs services for the Faculty of Arts, in situations where there are a variety of practices and precedents. They develop and implements procedures and/or controls to enhance the Faculty's operations and provide input regarding the unit's goals and objectives. Primary Responsibilities:

• Act as an Academic Advisor for the Faulty of Arts
• Provide individual and group advising to undergraduate students on a variety of academic and student affairs issues. Analyze problems, determine course of action, and provide advice and/or referrals as needed.
• Process academic appeals and more complex/exceptional cases by preparing files and background information for senior leadership's consideration.
• Authorize academic course selection of advisees as they work towards the completion of their degree and program(s). Evaluate and process student files for graduation. Select and recommend candidates for graduation and special designation at graduation.
• Develop and coordinate surveys, workshops, and outreach programs designed to assist prospective, newly admitted and current students in their academic pursuits. May attend events virtually and in person (both on and off campus).
• Participate in the review, development and implementation of faculty and program policies and procedures, as well as academic programs within the Faculty. May complete and submit documents/forms in relation to academic updates and changes to degree and program requirements.
• Participate in the implementation of new initiatives that support the strategic direction of the faculty/program/unit by keeping abreast of new developments and trends in the advising and student affairs field, specifically in areas such as advising approaches and programs, student record enhancements, etc.
• Develop contacts with student organizations and colleagues in other units, departments, and faculties. Represent the unit at Faculty and University meetings related to advising and student affairs issues. Ensure follow-up as needed.
• May act as a member of selection and consultation committees.
• May supervise and provide training for support staff.
• Handle requests for information on policies and procedures (in person, by email, letters or by telephone) from staff, students and representatives from other universities.
• Participate in the review and upkeep of publications, websites, University calendar, as well as unit documentation, statistics and data reports.
• Manage advising schedule and keep advising records. Maintain and update student information systems and computerized applications and participate in their development to improve efficiency. These tasks require the use of a range of computer programs and applications, including but not limited to: Microsoft Office Suite, Workday, Banner, Minerva, Adobe, Webex and Zoom, etc.

Other Qualifying Skills and/or Abilities: Demonstrated ability to communicate effectively with students and to provide assistance to students on academic related issues. Demonstrated knowledge of McGill's undergraduate academic curriculum. Experience with student advising. Ability to take initiative and to think and act independently. Excellent interpersonal skills and organizational and leadership abilities. Proven experience with organizing special events and workshops. Demonstrated ability to prioritize and meet frequent and regular deadlines. Demonstrated experience in supervision with students. Ability to deal with Canadian and US universities and agencies. At ease in a computerized environment using a variety of software, including Banner, SIS, Minerva and MS Applications (Teams, Sharepoint, Forms, Bookings, etc.). Masters degree would be considered an asset. Bilingual French and English.
