Reports to:  Dr. Kelley Lee, Scientific Co-Director

Hours:  Temporary full-time (35 hours/week), to March 2028 (position renewal possible depending on funding)

Salary range: $69k–$88k annually (commensurate with experience)

Location: Simon Fraser University, Burnaby campus.  Candidates with expert-level experience with SFU systems and policies may be able to negotiate on salary and hybrid working conditions.

ABOUT THE BRIDGE RESEARCH CONSORTIUM

The Bridge Research Consortium (BRC) is a $13.56M project (2024–2028) funded through Stage 2 of the integrated Canada Biomedical Research Fund (CBRF) and Canada Foundation for Innovation (CFI)/Biosciences Research Infrastructure Fund (BRIF) competition, with contributions from additional funders. It is one of 19 projects funded to strengthen Canada’s biomanufacturing capacity for future pandemic readiness. The project team is composed of two Scientific Co-Directors, a multidisciplinary team of twelve leading social sciences and humanities scholars located at 9 universities across Canada, plus Australia and Vietnam, and a Knowledge Mobilization (KM) team located at Simon Fraser University (SFU).

The Scientific Co-Directors who lead the project are Dr. Kelley Lee (Faculty of Health Sciences, Simon Fraser University) and Dr. Ève Dubé (Faculty of Social Sciences, Université Laval). Dr. Lee has day to day operational responsibility for the BRC Secretariat which is located on SFU’s Burnaby campus. This includes managing the overall project budget (i.e., allocation and reconciliation), issuing annual funding to Lead Scholars, managing large contracts with partners and collaborators, ensuring project reporting, and other general accountability activities. She also maintains extensive relationships across government, industry and academia, including the BRC’s affiliation with Canada’s Immuno-Engineering and Biomanufacturing Hub at the University of British Columbia. In this role, Dr. Lee manages the BRC Knowledge Mobilization Lead, the Director of Strategic Communications, and the Manager of Research.

In addition to the above, Dr. Lee holds several additional leadership roles, including advisory roles with the World Health Organization, serving on a Lancet Commission, and chairing a CIHR Institute Advisory Board. Finally, she maintains her own research on pandemic readiness including leading the Pandemics and Borders Project, graduate student and postdoctoral fellow supervision, extensive peer reviewing contributions, and university teaching responsibilities.

 

Position Summary

The Executive Assistant and Operations Coordinator reports to the BRC Co-Director, Dr. Lee, and in that role, ensures overall coordination of their office as well as carrying multiple responsibilities, including supervising two administrative positions.

 

Key Responsibilities

  • Scheduling appointments.
  • Maintaining the Co-Director’s calendar.
  • Screening incoming calls, mail and email.
  • Responding to typical requests for information.
  • Handling routine and general questions presented by other members of the BRC team.
  • Be the main BRC contact for SFU Facilities Management, Security, IT, Finance, HR, etc.
  • Supervise (and is supported by) two administrative positions: Finance and Administration Coordinator and Knowledge Mobilization Coordinator.
  • Schedule and prepare meetings (e.g., chair’s notes, agendas, minutes, documentation) for the Scientific Co-Director.
  • Arrange travel and complete expense claims for Scientific Co-Director.
  • Prepare or manage preparation of a wide range of meeting documentation, reports and correspondence.
  • Prepare formal letters and confidential correspondence, look up information in system and paper-based records, selecting information, and transposing information into forms.
  • Support creation/completion of documents such as reports, research papers and presentations, consistent with academic guidelines, and conducts on-line and/or paper-based record searches by following standard procedures to obtain, summarize and/or provide information.
  • Provide clerical support for the management and administration of BRC budgets and projects.
  • Work closely with the Co-Director to prepare new grant applications.
  • Create, review, archive and maintain electronic and paper-based files and records.
  • Organize regular biweekly meetings of the BRC Secretariat and regular face to face meetings /events involving the Scientific Co-Directors, BRC Lead Scholars, Advisory Committee and staff.
  • Record and circulate minutes and action items and follow up for the Co-Director.
  • Provide and/or coordinate secretarial and clerical support services for BRC events, workshops, seminars, and special events.
  • Handle confidential human resource files and information.
  • Maintain HR records for all Secretariat staff, including Time and Absence records for positive and exception reporting for approved hours, inputting approved hours, and coding absences, etc. in accordance with payroll deadlines.

 

Qualifications

  • At least 5 years in an executive administrative role in an academic or similar research-oriented setting.
  • Demonstrated ability to work in a diverse team environment.
  • Excellent interpersonal, problem-solving, and organizational skills and demonstrated ability to handle multiple concurrent demands and meet frequent deadlines.
  • Excellent written and oral communication skills.
  • Excellent secretarial and administrative knowledge and skills, including Word, Excel, PowerPoint, SharePoint, Zoom, Teams, Outlook and other administrative and financial tracking software.
  • Working knowledge of SFU corporate systems, particularly familiarity with SFU’s financial systems and software (e.g., FAST, FINS).
  • Ability to maintain records with a high degree of accuracy.
  • Ability to handle confidential material with discretion.
  • As we are a national project, occasional flexibility is needed to accommodate Canadian time zones.
