Part-time Office Administrator

Job Responsibility:
We are looking for a dependable and detail-oriented part-time Office Clerk to join our small but dynamic team. This permanent position requires availability for two days per week, with flexibility to provide coverage during staff absences and holidays.
Regular Duties:
- Filing and organizing office documents and records
- Handling accounts payable and receivable
- Managing office supplies and inventory
- Maintaining a clean and orderly workspace
- Assisting with basic data entry and CRM system updates
- Other duties as assigned
Float Duties
- Scheduling appointments and managing the advisor's calendar
- Setting up virtual meetings using Zoom or equivalent platforms
- Tracking and organizing emails in Outlook
- Creating and maintaining spreadsheets in Excel
- Drafting memos, reports, and documents using Microsoft Office tools
- Providing advanced client support, including problem-solving and follow-ups
- Responding to client service inquiries via phone and email
Qualifications
- Strong verbal and written communication English skills
- Proficiency in Microsoft Office Suite and Adobe
- Experience with CRM systems (ACT preferred)
- Previous experience in administrative, office support or similar roles
- Proficiency in clerical tasks with a keen attention to detail
- Basic knowledge of office equipment, including printers and scanners
- Ability to multitask and prioritize in a fast-paced environment
- An adaptable and professional demeanor
- A proactive approach to problem-solving and the ability to work independently as well as part of a team
